Purchasing Executive (recruiting from Malta)
Job description
Our client, Malta's leading hospitality and leisure group, is seeking a detail-oriented and proactive Purchasing Executive to join its procurement team. This role is ideal for an organised professional with strong administrative skills, excellent coordination abilities, and an interest in supporting efficient purchasing operations.
The successful candidate will play a key role in managing day-to-day procurement activities, including supplier coordination, purchase order processing, documentation management, and internal stakeholder support. Working closely with suppliers and internal departments, the Purchasing Executive will help ensure goods and services are sourced efficiently, cost-effectively, and in line with company procedures.
Key Responsibilities
Manage daily purchasing activities, including preparing requests for quotations, issuing purchase orders, and following up on supplier confirmations and deliveries. Liaise with local and international suppliers regarding pricing, availability, lead times, and order fulfilment while maintaining strong professional relationships.
Maintain accurate procurement records, including purchase orders, supplier documentation, invoices, and related information within company systems. Collaborate with internal departments, logistics, and warehouse teams to ensure timely availability and delivery of required goods and services. Support procurement reporting, data analysis, and administrative tasks while ensuring compliance with internal procedures and approval processes.
Identify and report procurement issues, discrepancies, or delays while contributing to continuous improvements within the purchasing function.
Requirements
Previous experience in purchasing, procurement, administration, or a similar coordination role. Strong organisational skills with excellent attention to detail and accuracy in documentation and data entry. Good communication and interpersonal skills, with the ability to liaise effectively with suppliers and internal stakeholders.
Ability to manage multiple priorities, meet deadlines, and work efficiently in a fast-paced environment. Good knowledge of Microsoft Office applications, particularly Excel, Word, and Outlook. A proactive, reliable, and team-oriented approach with strong commitment to company procedures and standards. Licenses & Qualifications MQF Level 4 qualification in Business Administration, Procurement, Supply Chain Management, or a related field.
Experience using procurement software, ERP systems, or stock management platforms. Previous experience within the hospitality, retail, manufacturing, or commercial procurement sectors.
