Summary: The Entry-Level Administrative Assistant plays a vital role in ensuring the smooth day-to-day operations of the assigned unit. This position provides essential administrative support to the unit head and team, enabling efficient workflow and effective communication. The assistant is responsible for managing schedules, correspondence, records, and procurement, while maintaining confidentiality and accuracy across all tasks.
By supporting key administrative functions, the role contributes significantly to organizational productivity, compliance, and team coordination.
Responsibilities
Manage calendars and schedule meetings, appointments, and events for the unit. Handle incoming and outgoing correspondence, including email management and drafting professional responses. Maintain accurate and up-to-date records and filing systems, including sensitive and confidential information. Track and update leave data for unit staff in a timely manner.
Coordinate procurement of stationery and office supplies as needed. Support the unit head with routine administrative tasks and special projects. Ensure timely follow-up on key actions and reporting deadlines. Facilitate colleague participation in workshops, training sessions, and mandatory programs. Assist in the coordination and documentation of policy attestation processes.
