Company: Lippincott Description: The Lippincott Executive Assistant Team provides partners with a wide range of support services including travel, meeting logistics , calendaring, and expense management. The team is as diverse as it is talented, and many of the team’s responsibilities are customized to fit specific partner needs.

As the gatekeepers of calendars and conference rooms, the Administrative Team understands that urgent matters arise, and they produce creative solutions to accommodate requests. They interface with clients, vendors, and employees daily. As an Executive Assistant, you serve as the “right-hand” to multiple high-level executives across the firm.

You’ll excel in this role if you can quickly identify priorities, anticipate upcoming needs, and stay consistently two steps ahead . Your ability to operate independently while maintaining close alignment with leadership priorities will be key to your success. T his is a remote position; however, candidates must be based in Mexico City In your day-to-day, you will provide : Partner s upport and s trategic a lignment: Provide strategic, day-to-day support to multiple Partners and Senior Partners, maintaining close communication, understanding their business goals, and proactively helping advance priorities.

Client and r elationship m anagement: Build and maintain strong relationships with clients and client EAs/teams; serve as a primary point of contact and ensure accurate , up-to-date client information in Salesforce. Calendar and t ime m anagement: Proactively manage complex calendars, anticipate scheduling needs, resolve conflicts, and recommend internal and external meetings (e.

g., prep, follow-ups, focus time) to optimize productivity. Meeting and e vent c oordination: Organize and coordinate client meetings, offsites, trainings, and team events, including agenda support, room bookings, catering, and AV/IT collaboration. Project and i nterview c oordination: Assist with scheduling and coordination for complex projects and external client interviews as needed.

Sales and p ipeline s upport: Track and maintain sales activity and pipeline data for each Senior Partner. Task and d eadline m anagement: Execute and manage to-do lists by prioritizing tasks and reminding Partners and Senior Partners of key deadlines. Operational and a dministrative s upport: Manage complex travel arrangements, oversee assigned calendars, submit weekly timesheets, and produce accurate and timely expense reports.

Firm k nowledge and c ontinuous i mprovement: Develop a strong understanding of Lippincott’s products and services; actively participate in team meetings and process-improvement initiatives. Team c ollaboration and c overage: Provide coverage and support for other assistants as needed and contribute to the overall effectiveness of the EA team.

What makes you a great candidate: Minimum 5 years of experience supporting high-level executives in a fast-paced environment ; Bachelor’s degree or equivalent professional experience Fluency in English, with strong written and verbal communication skills ; professional and calm under pressure Take initiative and actively identify ways to streamline processes for the Partners you support Strong problem-solving skills with the ability to anticipate and resolve issues before they arise ; s trategic thinker who can contribute to the development of departmental models Ability to multitask, prioritize competing demands, and stay organized in a fast-paced, demanding environment Actively participate in team meetings and projects to improve processes and enhance EA team performance Proficient in Microsoft Office Suite, particularly Outlook and PowerPoint Experience with Mac platforms is a plus Requirements: Possess unrestricted authorization to work in Mexico without the need for current or future visa sponsorship Submit an English version of your resume as part of your application About Lippincott Lippincott is a global brand, marketing and experience consultancy committed to helping companies address their most complex brand challenges.
