Administrative Assistant For Warehouse
ADMINISTRATION – ROANOKE DC
** Key Responsibilities include, but are not limited to: **
General reception tasks, badge system maintenance, parking lot oversight
Prepare outgoing and special reports while obtaining necessary data and information from various sources
Identify problems and conduct research necessary to assemble information for review
Log and attain signatures for basic billing documents
Manage warehouse attendance tracking and documentation
Coordinate employee luncheons, set up and tear down of lunches, dinners for business meetings
Maintain supply inventory, order food and supplies
Schedule interviews and conduct drug screens for entry level candidates
Assist in the development of presentation materials.
Assist with and/or assume responsibility for a variety of small projects as assigned by a variety of departments
Perform filing and other general administrative tasks
Make travel arrangements and arrange itineraries.
Back up Executive Admin Assistant
Back up weekly payroll and check printing and pay discrepancy research / missing checks – to include off cycles
Back up bobblehead creation and ordering – AOM tracking
Back up gate card creation and maintenance + parking lot oversight
Back up for compiling reports
Back up monthly new hire, birthday, AOM, and anniversaries tracking +PowerPoints, +order supplies
Back up Petty Cash administration and reconciliation
Pick up mail and drop off at Post Office or Lock Box
Other duties as assigned.
** Qualifications: **
Proficient in office skills with a very strong emphasis on Microsoft Office Suite software skills (i.e. Word, Excel, PowerPoint, Outlook)
Considerable experience managing multiple and high-level priorities simultaneously is required at this level
Must be able to prioritize work assignments to complete tasks timely and accurately
Strong communication skills; oral and written
Significant customer service experience, utilizing strong interpersonal skills required
Confidential in nature, ability to handle sensitive information with discretion
Strong aptitude with numbers, attention to detail
Detailed knowledge of company operations, organizational procedures and personnel
Thorough knowledge of technical and business vocabulary
Good analytical and problem-solving skills
Strong Team Player – ability to work with multiple team members on a variety of assignments
