Maxwood Furniture is a rapidly growing furniture company with an expanding portfolio of brands such as Max & Lily, Plank + Beam, and Maxtrix. Position Overview

The Operations Assistant is a key member of our Operations team responsible for keeping inventory, shipments, and documentation moving efficiently throughout our supply chain. This role partners closely with our warehouse, logistics, finance, and purchasing teams to ensure purchase orders, inbound shipments, and operational records are accurate, organized, and completed on time.

Our products travel from manufacturing partners in Vietnam to warehouses across the United States, making this a highly collaborative position that touches nearly every stage of the supply chain. What You'll Do

Enter and maintain purchase orders with exceptional accuracy. Monitor delivery schedules and communicate potential delays. Maintain spreadsheets tracking inventory, container shipments, and delivery timelines. Review and verify shipping documentation for accuracy and completeness. Resolve documentation discrepancies before they impact operations.

Coordinate inbound container receiving with warehouse teams. Verify shipment information against purchase orders and provide documentation to Finance. Maintain the Ports Entry Sheet and ensure operational records remain accurate. Support the Operations team with administrative tasks, reporting, filing, and special projects.

We're Looking for Someone Who Has exceptional attention to detail and takes pride in producing accurate work. Communicates professionally and collaborates well across departments. Is highly organized and able to manage multiple priorities. Is proficient in Microsoft Excel, including formulas, filters, and formatting. Experience with Pivot Tables is a plus.

Enjoys working as part of a collaborative, fast-paced team. Takes ownership, solves problems proactively, and continuously looks for ways to improve processes.
