THE OPPORTUNITY You’ll be Tiny Health’s central hub for everything events including: planning, logistics, vendor management, budget tracking, and on-site execution.
You’ll lead the execution of all Tiny Health events, including trade shows, conferences, sponsorships, practitioner dinners, consumer activations, webinars, and partner events. This role reports into the B2B Marketing Lead and you’ll work closely with Marketing, Clinical Outcomes, Partnerships and Leadership to ensure every activation reflects Tiny Health’s brand and goals.
This role is ideal for someone who thrives in fast-paced environments, loves logistics, can manage multiple moving pieces simultaneously, and takes ownership from planning through execution. The role requires you to reside in/around Austin, Texas. WHAT YOU’LL DO Event Planning & Execution
- Lead end-to-end management of all B2B and D2C events, including:
- Trade shows
- Conferences
- Sponsorship activations
- Practitioner dinners
- Consumer wellness events
- Partner activations
- Internal events and team meetings
- Create and maintain detailed event timelines, production schedules, and run-of-show documents
- Ensure flawless execution before, during, and after all events Sponsorship & Speaking Management
- Manage all sponsorship deliverables and event-related partnerships
- Coordinate and track all contracts, deadlines, and required submissions
- Manage speaker opportunities, including:
- Abstract submissions
- Presentation logistics
- Speaker coordination
- Travel arrangements
- AV and onsite needs Cross-Functional Coordination
- Coordinate with internal stakeholders across Marketing, Sales, Clinical, Partnerships, and Leadership teams to gather necessary assets and information
- Serve as the central point of communication for all event logistics and updates
- Coordinate staffing schedules and onsite team management for events Budgeting & Financial Management
- Create and manage event P&Ls for all major events
- Track budgets, invoices, expenses, and reconciliations with exceptional attention to detail
- Ensure timely processing of all event-related payments and documentation
- Identify opportunities for cost savings and operational efficiencies Tradeshow Logistics & Inventory
- Pack, ship, and track all event materials and booth assets
- Manage event inventory, including:
- Booth materials
- Marketing collateral
- Swag
- Signage
- Product samples
- Coordinate shipping timelines and vendor communications
- Maintain organized inventory systems and storage processes
- Make recommendations for booth upgrades, replacements, enhancements, and operational improvements as needed Vendor & Venue Management
- Manage relationships with vendors, venues, production partners, and contractors
- Coordinate booth builds, rentals, AV, catering, internet, and onsite logistics
- Ensure all deadlines and compliance requirements are met QUALIFICATIONS REQUIRED - 3–5 years of event management experience, preferably in healthcare, wellness, biotech, supplements, consumer health, or startups
- Must be based in the Austin area
- Proven experience managing trade shows and large-scale events
- Strong project management and organizational skills
- Experience managing event budgets and P&Ls
- Ability to manage multiple projects simultaneously with strong attention to detail
- Excellent communication and stakeholder management skills
- Comfortable traveling frequently for events
- Experience with event platforms, CRMs, project management tools, and shipping/logistics coordination preferred
- Ability to lift and move event materials as needed for booth setup and breakdown PREFERRED
- Experience supporting both B2B and D2C marketing initiatives
- Startup or high-growth company experience
- Familiarity with healthcare practitioner audiences and wellness industry events
- Experience with trade show booth planning and vendor sourcing
- Work experience in DTC health/wellness companies
- Experience working remotely, with proficiency in Slack
- Self-directed, proactive, and comfortable with ambiguity HOW WE WORK
