Job description
● Build and manage event workback plans, trackers, and weekly task lists. ● Run internal coordination: capture action items, chase owners, unblock dependencies, and keep timelines honest. ● Maintain a single source of truth: agenda versions, speaker tracker, sponsor deliverables tracker, production requirements, and comms calendar.
● Host recurring cadence calls: set agenda, keep deliverables in check, document outcomes, send crisp MoMs. ● Coordinate across internal teams: sales, partnerships, marketing, design, editorial, video, product/tech, finance, and production. ● Translate “what we want” into “what needs doing” with owners, deadlines, and acceptance criteria.
● Escalate early: flag risks, slippages, and decision gaps with options—not problems. ● Manage and track speaker outreach status and confirmations; manage calendars, logistics, bios/headshots, and consent forms if required. ● Support session operations, coordinate rehearsals and tech checks (calendar, reminders, readiness tracking).
● Track sponsor commitments and assets: logos, ad units, booth requirements, stage mentions, session formats, lead capture. ● Ensure internal teams deliver sponsor outputs on time and on brand. ● Maintain version control of sponsor signage/creatives and approvals. ● Coordinate deliverables for landing pages, emailers, social posts, and creative deadlines (execution by marketing/design teams).
● Manage registration ops inputs: FAQs, event info, access policies, etc. ● Maintain audience-facing accuracy across all touchpoints (timings, speaker names, venue details). ● Weekly status updates: what’s done, what’s stuck, decisions needed, next milestones. ● Post-event wrap: collect learnings, update SOPs/templates, archive final docs.
Requirements
● 3–5 years in event coordination, programme ops, project management, or high-velocity cross-functional roles. ● Strong project discipline: timelines, dependencies, meeting hygiene, follow-through. Has to be organised, assertive, and detail-accurate. ● Excellent written communication: clear notes, crisp updates, confident stakeholder nudges.
● Comfortable with spreadsheets and documentation; strong version control instincts. ● Ability to work calmly under pressure; proactive escalation. Tools: Google Workspace; Excel/Sheets; PM tools like Asana/Trello/Notion/Jira (any one is fine). ● Experience with conferences or B2B events, especially tech/startups. ● Basic familiarity with sponsor deliverables, registration flows, and content production timelines.
● Comfort working with senior stakeholders and external partners. ● Familiarity in working on Webflow, Canva, Slides/PowerPoint.
