Operations Assistant
Job description
Our client based in Northriding is seeking a Operations Assistant provides administrative and operational support to ensure the efficient day-to-day functioning of the operations department. The role involves coordinating operational activities, maintaining accurate records, supporting inventory and procurement processes, preparing reports, and assisting with customer and supplier communications.
Key Responsibilities
Operational Support: Assist with the daily coordination of operational activities and workflows. Monitor and track operational tasks to ensure timely completion. Support the implementation and maintenance of operational procedures. Liaise with internal departments to ensure smooth operational processes. Administration and Documentation: Maintain accurate operational records, files, and databases.
Prepare reports, spreadsheets, and presentations as required. Ensure all documentation is correctly filed and easily accessible. Assist with data capturing and record management. Inventory and Procurement Support: Assist with inventory monitoring and stock control activities. Support purchase order processing and supplier communication.
Track deliveries and resolve discrepancies where necessary. Maintain records of stock movements and procurement transactions. Reporting and Data Management: Generate operational reports and summaries. Capture and analyze operational data for management review. Maintain accuracy and integrity of operational information.
Identify data discrepancies and escalate where appropriate. Customer and Supplier Liaison: Respond to customer and supplier queries professionally and efficiently. Coordinate communication between suppliers, customers, and internal teams. Follow up on outstanding requests, deliveries, or operational issues. Compliance and Quality: Ensure compliance with company policies and operational procedures.
Assist with quality assurance and continuous improvement initiatives. Support audits and compliance-related activities when required.
Requirements
Grade 12/Matric. Diploma or Certificate in Business Administration, Operations Management, Supply Chain, Logistics, or a related field (advantageous). Experience Requirements: 2-3 years of experience in an administrative, operations, logistics, supply chain, or support role. Experience working with operational reporting and data management.
Exposure to inventory control, procurement, or customer service environments is advantageous. SAP experience is advantageous but not essential. Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Strong Excel skills including data capturing, reporting, and basic analysis. Experience with ERPs or business systems.
Working knowledge of SAP will be considered an added advantage. Competencies and Personal Attributes: Strong organizational and time management skills. Excellent attention to detail and accuracy.
