SUMMARY Reporting directly to the Manager, IT Integrations, the IT Project Coordinator will play a vital role in organizing and managing logistics, documentation, schedules, and communications across a variety of IT projects. This role is essential to ensure that IT projects are delivered on time, within scope, and on budget.

The ideal candidate will be highly organized, possess strong communication skills, and bring a foundational understanding of IT project management processes. This is an excellent opportunity for an early-to-mid-career professional to grow within a dynamic, fast-paced IT environment in the construction or civil engineering sector.

PRIMARY SCOPE OF ROLE Project Planning and Scheduling Assist project managers in creating detailed project plans and schedules. Define project milestones and coordinate timelines with internal teams and stakeholders. Ensure project calendars are maintained and aligned with organizational objectives. Resource Coordination Coordinate internal resources and third-party vendors to ensure resource availability and allocation.

Track equipment, licenses, documentation, and other assets required for project delivery. Follow up with team members to confirm completion of assigned tasks or upcoming dependencies. Progress Tracking and Reporting Monitor day-to-day project activities to ensure they remain on track. Identify and escalate risks, delays, or resource constraints to the Project Managers Prepare weekly or ad hoc status reports for leadership and stakeholders.

Documentation Management Maintain accurate and organized project documentation, including meeting minutes, project charters, risk logs, and change requests. Ensure document versions are controlled and accessible to team members. Support the collection and collation of post-project evaluations and lessons learned. Communication and Stakeholder Engagement Act as a liaison between IT, business units, and external vendors or partners.

Ensure all stakeholders are updated on project developments, decisions, and required actions. Draft and distribute memos, emails, and presentations supporting project objectives. Meeting Scheduling and Logistics Schedule and facilitate project meetings, including team check-ins, vendor discussions, and steering committee reviews.

Prepare meeting agendas and distribute pre-read materials as needed. Record and distribute action items and follow-ups to responsible parties. POSITION REQUIREMENTS Core Competencies Strong Organizational Skills: Able to manage multiple priorities, track deliverables, and meet deadlines. Communication Skills: Excellent written and verbal communication across all levels of the organization, including non-technical stakeholders.

Attention to Detail: High level of accuracy in maintaining project records, reports, and documentation. Problem-Solving Skills: Ability to think proactively and suggest solutions when encountering project barriers. Project Coordination Knowledge: Familiarity with project management practices (e.g., waterfall, agile, hybrid) and terminology.

Technical Proficiency Comfortable using project management software (e.g., MS Project, Smartsheet, Jira, Asana). Proficient with productivity and collaboration tools (e.g., Microsoft Office Suite, Teams, SharePoint, Google Workspace). General understanding of IT infrastructure, software development lifecycle (SDLC), and enterprise systems is a plus.

WHAT WE OFFER

55,000 – 65,000 per year. The actual base salary will depend on several factors including experience, qualifications, internal equity, work location and market expectations.
