Job description
Our client, a respected organization in Malta, is currently seeking a Personal Assistant to join their team. This role requires excellent organizational skills, discretion, and the ability to manage multiple priorities in a fast paced environment. Recruiting applicants already residing in Malta.
Key Responsibilities
Manage calendars, appointments, and meeting schedules. Coordinate meetings, prepare agendas, take minutes, and follow up on action points. Handle and prioritise correspondence with internal and external stakeholders. Prepare business documents, presentations, and reports. Assist with expense claims, invoices, and general administrative tasks.
Maintain organised and secure documentation in line with company procedures. Support office operations and liaise professionally with clients, suppliers, and colleagues. Arrange travel itineraries and logistics. Provide support for projects, audits, reviews, events, and business activities when required.
Requirements
3–5 years’ experience in a Personal Assistant or Executive Assistant role, supporting C-level executives (CEO, Managing Director, or equivalent senior leadership). Strong organisational and communication skills. High level of professionalism, discretion, and attention to detail. Ability to work independently and manage competing priorities.
Proficiency in Microsoft Office and digital collaboration tools. Good understanding of confidentiality and data protection principles.
