Summary : With oversight and direction from the Director of GME and the Program Director, this position provides direction, leadership, and day-to-day management of the assigned Graduate Medical Education Residency or Fellowship Program.
Communicates, facilitates, prioritizes and problem-solves with administration, support staff, faculty, residents/fellows, attending physicians and others to ensure quality, efficient and cost-effective accredited Medical Education services. Committed to the provision of Medical Education in a complex academic medical system.
Job Description: K E Y AC C O UNTA B ILI T IE S : Manages day-to-day administration of the assigned Graduate Medical Education Residency or Fellowship Program(s) including resource allocation, and problem solving. Provides all aspects of office management for assigned program(s). Manages accreditation readiness and oversees regulatory compliance.
Communicates timely and appropriately with staff. Responsible for all aspects of data management for assigned Residency or Fellowship Program(s). Use of our Residency Management System is required. Data management includes elements such as rotation schedules, evaluations, recruitment, orientation, resident onboarding, resident or fellow milestones, Clinical Competency Committee meetings, Program Evaluation Committee meetings, and Annual Program Evaluations.
Responsible for keeping program specific policies updated and in line with changing accreditation standards. Responsible for preparing materials for conferences, lectures, and other didactic events. Organizes or delegates booking and preparing meeting rooms and prepares comprehensive materials as necessary. Manages and directs the workflow necessary to maintain administrative records and complex filing systems required by the Graduate Medical Education office, including required Program cost report information for yearly Medicare filing.
Actively participates in strategic planning and financial management at the departmental and program level. Responsible for budget planning of assigned program(s) and is responsible for payroll, supply inventory, equipment maintenance, capital needs, and other expenses in the assigned Residency or Fellowship program(s).
Monitors program financial statements and provides variance reports as requested. Manages the yearly recruitment of residents/fellows, including complex scheduling of faculty, residents and applicants. Plays a critical role in representing Theda. Care and their program(s) in a positive manner through communication prior to arrival, during the interview process, and after.
Must prepare and ensure required documentation is provided to applicants and maintained appropriately in order to meet regulations. Q UAL IFIC A T I O N S : EDUCATION: Required: Bachelor’s Degree in Administration or a related field Preferred: Master’s Degree in Administration or related field or National certification from Training Administrators in Graduate Medical Education (TAGME).
EXPERIENCE: Required: Two (2) years medical education experience with continually increasing responsibilities or Three (3) years of other management, project, healthcare, education or accreditation experience in a role responsible for systems and processes Preferred: Three (3) years medical education experience with continually increasing responsibilities or Four (4) years of other management, project, healthcare, education or accreditation organization in a coordination role responsible for systems and processes PHY S IC A L DE MA N D S: Ability to move freely (standing, stooping, walking, bending, pushing and pulling) and lift up to a maximum of twenty-five (25) pounds without assistance Job classification is not exposed to blood borne pathogens (blood or bodily fluids) while performing job duties W O R K ENV IRONM E N T:
