Job description

The Events Quotations Coordinator is the critical first point of contact for our client, a market leader in the event industry. This role is responsible for turning incoming event enquiries received via the website and over the phone into accurate, professional, and timely cost estimates. The ideal candidate is a highly organised, tech-savvy individual who thrives in a fast-paced environment and possesses the industry insight needed to confidently guide clients through their event beverage and service requirements.

Key Responsibilities

  1. Quotation Preparation & Management Accurately interpret client briefs to compile comprehensive and profitable event quotations. Calculate product quantities, equipment requirements, and logistics costs effectively. Ensure all quotes are issued within company service level agreements (SLAs) without sacrificing accuracy. Follow up on outstanding quotations to maximize conversion rates and secure bookings.
  2. Customer Enquiry Resolution Act as the primary point of contact for all inbound telephonic customer enquiries, offering enthusiastic and professional service. Monitor, manage, and respond to incoming leads from the website enquiry form promptly. Advise clients on event beverage packages, quantities, and logistical considerations based on their unique guest counts and themes.
  3. System & Data Administration Utilise internal CRM, quoting software, and cloud tools to log customer details and track lead statuses. Maintain meticulous digital records of all interactions, pricing tiers, and client preferences. Collaborate closely with the operations and logistics teams to ensure confirmed quotes transition smoothly into booked events.

Requirements

Matric certificate required; a relevant diploma or certificate in Hospitality, Event Management, or Business Administration is a plus. 3 years of experience in an administration, internal sales, or coordination role. Previous experience working within the Events Industry is highly preferred. Direct experience or familiarity within the Liquor / Beverage Industry (understanding brands, standard liquor categories, and event bar setups) will be a distinct advantage
