Summary: The Executive Assistant plays a pivotal role in ensuring the seamless operation of senior leadership by delivering high-level administrative, technical, and strategic support. This position requires a proactive, detail-oriented professional who can manage complex schedules, coordinate domestic and international travel, and handle sensitive information with the utmost discretion.
The Executive Assistant serves as a key liaison between the accountable manager and internal/external stakeholders, enabling efficient decision-making and organizational continuity. By anticipating needs, streamlining workflows, and supporting ad-hoc initiatives, the individual contributes directly to the operational excellence and strategic success of the aviation organization.
Responsibilities
- Manage, prioritize, and schedule meetings, ensuring alignment with executive priorities and time zone considerations.
- Coordinate all aspects of domestic and international travel, including flights, accommodations, visas, and detailed itineraries.
- Draft, edit, and prepare high-quality documents, presentations, reports, and meeting minutes.
- Monitor and respond to inquiries, screen calls, and manage email traffic to ensure urgent matters are escalated promptly.
- Conduct research, analyze data, and support special projects as assigned by the accountable manager.
- Maintain accurate records and manage expense reports in compliance with organizational policies.
- Uphold the highest standards of confidentiality and discretion when handling sensitive information.
- Continuously learn organizational processes, systems, and operational dynamics to support a seamless aviation environment.
