Title: Shelter Health Services Site Coordinator Department: Special Populations Status: Non-Exempt Position Classification/Category: Administration Level: N/A Location: Shelter Health Services Hourly Pay Range: Reports To: Community Health Program Administrator Direct Reports: Shelter Health Services Patient Representative Summary of Position The Shelter Health Services Site Coordinator oversees all front office operations and procedures to ensure organizational effectiveness and efficiency.
Supports mission and goal achievement, organizational quality, and patient-centered care. Supervises front office staff. S/he leads the front office team at the designated site to deliver excellent customer service while confirming staff collects complete income, demographic, and insurance information for patients served.
Ensures Patient Representative staff validate and input data accurately into the computer system. The Site Coordinator also facilitates accurate insurance verification, closing procedure, and communication with clinical staff. Responsible for daily clinic opening and closing and directs accordingly. Ensures Patient Representatives complete assigned duties, including registration, completing appointment ticklers, contacting patients to confirm appointments and no-shows, and verifying paperwork.
Schedules patient appointments following organization guidelines. Interview the patient to obtain personal and financial information. Calculate sliding fee eligibility based on client income and enter patient charges appropriately. Create patient claims, collect payment, and document payment in the electronic health record.
Reconcile payments at the end of the day. Scan documents into patient charts within 24 hours of the visit.
Minimum Qualifications
Fluent in English and the specified language (s) both in verbal and written communication. Must be able to sit and stand for long periods of time. Ability to effectively maintain confidentiality of records and communicate with all levels of personnel.
- Experience: One year of clerical experience in an office setting
- Additional skills required: Requires excellent organizational, problem-solving, and critical thinking skills. Strong basic computer skills required. Able to maintain confidentiality and work collaboratively in a team environment. Knowledge of medical terminology in English and the specified language(s).
- Additional skills preferred: Bilingual in Spanish and English Education: High school diploma or GED. Associate's degree preferred. - Maintain office services by organizing office operations and procedures; controlling correspondence; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
- Disseminate information to all special population patients regarding clinic services and state and local public services.
- Provide back-up support for patient representative and interpreter staff at times of unanticipated need, planned or unplanned employee absence.
- Assist in month-end and annual department close process responsibilities.
- Perform daily bank deposits and comply with all CRCHC cash handling policies.
- Ensure mail is opened and distributed according to procedure.
- Ensure the smooth and timely flow of patients through scheduled clinics.
- Be the operational point person onsite for facility-related issues.
- Facilitate communication, problem-solving, and conflict resolution between all departments.
- Develop and recommend changes in operational procedures that promote quality patient-centered care, productivity and revenue enhancement, risk management, cost savings, employee engagement and satisfaction.
- Assist in the recruitment, hiring, orientation, development, and evaluation of patient representatives, interpreter staff, and volunteers.
- Represent the company professionally and positively to enhance and promote the core values and mission of the organization.
- Participate in quality improvement activities by initiating or contributing to monitoring, measuring, analyzing, improving, and/or controlling program goals, objectives, and/or services.
- Support current incentive, regulation, and certification requirements (such as Meaningful Use, PCMH and UDS) through documentation, participation in initiatives, and other activities as directed.
- Perform other duties as assigned.
