Job description

Job Title: Medical Scheduler Job Summary: CASES is a New York City agency at the forefront of the intersection between behavioral health and involvement in the criminal justice system. The Behavioral Health division consists of a continuum of services for justice-involved individuals with serious mental illness. The Nathaniel Clinic located in the Bronx provides outpatient mental health and substance use services to adolescents and adults, focusing on providing care to those involved in the criminal legal system.

CASES is seeking a highly organized and detail-oriented person to oversee the daily operations of our behavioral health services. This role is essential in ensuring efficient patient flow and seamless coordination among clinical staff, including social workers, psychiatrists, and nurse practitioners. The Medical Scheduler will be responsible for managing appointment scheduling, overseeing referrals and eligibility verifications within our electronic health record (EHR) system, Care.

  • Friday from 9:00AM - 5:00 PM. Salary: The salary range for this role is $20.00 - $23.00 per hour. Location Address: 24 East 147 th Street, 2nd Floor, Bronx, New York 10455 . Our office is easily accessible by public transportation. Workplace Flexibility: On-site (for roles that are 100% in-office/in-person). What You Will Be Doing: Ensure the lobby maintains a welcoming and safe environment by demonstrating excellent customer service along with person-centered, trauma-informed care. Collaborating with other CASES programs to ensure proper care and shared experiences of all CASES clients entering the lobby. Manage and support the coordination and processing of clinical e-referrals and walk-ins ensuring the appropriate level of service is met. Maintain centralized scheduling ensuring up-to-date staff schedules as well as outreaching cancelled/missed appointments for rescheduling. Uploading client and clinic files to electronic databases in addition to photocopying, scanning, faxing, mailing other documents. Monitoring staff and client supplies and communicating the need Verify status of insurance using EPACES and Managed Care Organization portals routinely. Support with crisis intervention and de-escalation response to ensure health and safety and effective responses by internal and external first responders and adherence to crisis/emergency policies. Take meeting minutes ensuring meeting action items are documented and executed by responsible staff. Other duties as indicated by supervisor or other clinic leadership.

What We Are Looking For

High school diploma required or equivalent Ability to manage multiple activities and prioritize appropriately. Exceptional communication and organizational skills, including excellent phone demeanor and direct communication skills with clients, family members, government agencies, and agency staff. Excellent diplomacy, poise, and social skills to interact with clients facing a range of problems including serious mental illness, substance abuse, arrest and incarceration, and crisis and stress.

Ability to establish and maintain effective working relationships with clients, family members, referral sources, criminal justice staff, and CASES’ employees.

Preferred Skills

Bilingual English and Spanish preferred . Previous administrative experience.
