Veterinary Receptionist / Client Service Representative

Western Veterinary Partners

Fairmont, WV$30k – $33kPosted Aug 4, 2026

Job description

Fairmont Veterinary Hospital is seeking an outgoing Client Service Representative to serve as the welcoming face of our hospital.

In this fast-paced role, you will create exceptional client experiences, build trust through compassionate service, manage appointments and daily patient flow, handle multi-line phones and in-person interactions, process transactions, and support clients with essential information about our services.

What sets this role apart is the expectation of genuine veterinary knowledge — you'll be the first point of contact for clients navigating everything from routine wellness visits to urgent calls, and your ability to triage with confidence, explain preventative care clearly, and handle emotionally sensitive situations with empathy and professionalism will make a real difference in the lives of our clients and their pets.

Ideal candidates are friendly, detail-oriented, highly organized, and thrive in a team-focused environment. Prior veterinary experience or a strong baseline of medical knowledge is highly valued here — this is not a typical front desk role.

Schedule and compensation:

  • Compensation: $14.50 - $16.00 per hour, for each hour worked
  • This is a full-time or part-time position with a flexible schedule, Monday–Friday with one rotating Saturday every 4–6 weeks. No on-call or emergency hours.

Full-time Benefits Package:*

  • Health package: Medical, dental, and vision insurance
  • Life insurance and disability
  • Employee Assistance Program (EAP)
  • 401k - with company match beginning 2027
  • Paid time off in accordance with site policy and applicable law
  • Personal pet discount
  • Uniform allowance

*Part-time team members may be eligible for limited benefits in accordance with company policy and state law

Minimum qualifications and skill set:

  • 1+ years of experience in a customer service, reception, or client-facing role

  • Previous veterinary or healthcare-related front desk experience strongly preferred

  • Basic veterinary knowledge — understanding of common conditions, preventative care protocols, and appointment types — is a significant advantage in this role

  • Proficiency in the following skills:

  • Ability to manage a multi-phone line system while assisting in-person clients

  • Experience working with veterinary practice management software, especially Pulse, preferred

  • Ability to provide compassionate, professional service to clients during both routine and emotionally sensitive situations

  • Strong organizational and time management skills

  • Experience scheduling appointments and coordinating calendars preferred

  • Ability to accurately process payments and maintain financial records

  • Positive attitude and willingness to collaborate with a team

  • Ability to remain calm, professional and solution-oriented during busy periods
