Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant who thrives in a fast-paced industrial environment and enjoys supporting leaders and teams. The ideal candidate has experience supporting executive-level management, exceptional communication skills, and strong proficiency in Microsoft Office. They excel at managing schedules, coordinating travel, processing reports and invoices, and handling a variety of administrative responsibilities with accuracy, professionalism, and attention to detail.

Experience supporting operations in an industrial, manufacturing, or production setting is preferred. Bilingual English/Spanish skills are a plus. Work Hours 7:30 AM to 4:00 PM, Monday through Friday.

What You Will Do

Provide administrative support to department leadership and team members. Coordinate calendars, schedule meetings, and organize department activities. Arrange business travel, lodging, and related logistics. Manage office and kitchen supply purchases and inventory. Process expense reports, invoices, and other administrative records in a timely manner.

Answer and direct phone calls, greet visitors, and ensure messages are routed appropriately. Create reports, presentations, correspondence, and other business documents. Maintain accurate data and records in company and external systems. Support day-to-day office operations and assist with special projects and other administrative duties as assigned.

Education

High School Diploma or Equivalent Required Experience: A minimum of one year’s recent experience working as an Administrative Assistant supporting executive level management is required. Excellent verbal and written communication in English. Intermediate to advanced knowledge of Outlook, Word, Excel, PowerPoint and Access.
