Position Overview

The Assistant Project Manager is responsible for supporting the Project Manager in the planning, coordination, execution, and delivery of projects, with a primary focus on site execution and installation activities. The role involves managing site readiness, monitoring project progress, coordinating stakeholders, resolving site issues, ensuring compliance with project requirements, and maintaining effective communication between site teams, engineering teams, clients, and management.

The successful candidate will play a key role in driving project performance, ensuring quality execution, maintaining schedule adherence, and facilitating smooth project delivery throughout the project lifecycle. What will your typical day look like? Assist the Project Manager in project planning, execution, monitoring, and delivery of assigned projects.

Coordinate and monitor day-to-day project site activities to ensure works are executed according to approved schedules, specifications, quality standards, and client requirements. Support project schedule management by identifying potential delays, risks, and resource constraints, and implementing corrective actions where necessary.

Coordinate with engineering, procurement, logistics, and site teams to ensure timely availability of materials, equipment, manpower, and technical support. Track project milestones, deliverables, and action items, and provide regular updates to the Project Manager. Manage and coordinate site execution activities, including track access arrangements, work permits, possession activities, inspections, testing, and commissioning activities.

Ensure smooth and efficient site work execution by coordinating site readiness activities, including maintaining up-to-date site documentation, drawings and work instructions, verifying material and equipment availability, ensuring required permits and documentation are in place, and maintaining calibration records for all applicable tools, test equipment, and measuring instruments.

Conduct regular site inspections to monitor work progress, workmanship, compliance with project requirements, and overall quality standards. Coordinate with Site Supervisors and subcontractors to ensure site activities are executed safely, efficiently, and in accordance with approved methodologies. Review and verify site progress against project schedules and identify areas requiring management attention.

Manage and coordinate RIT (Request for Inspection and Test) activities, ensuring inspections and tests are properly planned, executed, documented, and closed out. Coordinate Testing & Commissioning (T&C) activities and ensure all required records and reports are completed and submitted on time. Support and coordinate First Article Inspection (FAI) activities for prototype installations and test bench activities, and provide feedback to the Design and Engineering teams for continuous improvement.

Ensure quality issues, non-conformities, and site observations are properly recorded, investigated, and followed through to closure. Work closely with engineering and quality teams to implement corrective and preventive actions. Serve as a key liaison between site teams, engineering teams, clients, subcontractors, suppliers, and internal stakeholders.

Collect site feedback, identify technical or operational issues, and coordinate with engineering teams to ensure timely resolution. Attend project meetings and present updates on installation progress, project status, key risks, issues, and mitigation plans. Prepare and consolidate project reports, progress updates, resource forecasts, and management presentations.

Ensure timely submission of site reports, inspection records, T&C documentation, and project deliverables. Work with engineering teams to develop and deliver project-specific technical training for Site Supervisors and project personnel. Maintain training records and monitor completion of mandatory project-related training.

Support Site Supervisors and field personnel by providing project guidance and coordinating technical assistance when required. Maintain accurate and up-to-date project records, including drawings, inspection documents, test records, meeting minutes, training records, and project correspondence. Support document control activities to ensure project teams are working to the latest approved documentation.

Assist in project risk management, issue tracking, change management, and action item follow-up. Monitor project compliance with company procedures, contractual requirements, and client expectations. Support the Project Manager in managing project risks, opportunities, and stakeholder expectations. Participate in client meetings, site inspections, audits, and project reviews as required.

Perform ad hoc assignments and special projects as directed by management.

Qualifications

What do we want to know about you? Degree in Electrical Engineering, Electronic Engineering, Mechanical Engineering, Railway Engineering, Civil Engineering, Construction Management, or a related discipline. Minimum 3-5 years of relevant experience in project execution, installation, testing & commissioning, railway, E&M, infrastructure, construction, or engineering projects.

Experience in site coordination, project management, and stakeholder engagement is preferred. Familiarity with project management principles, project scheduling, risk management, and project reporting. Knowledge of RIT processes, T&C activities, FAI processes, quality management, and site supervision practices. Strong leadership, communication, coordination, and stakeholder management skills.

Good analytical and problem-solving capabilities with the ability to drive issues to closure. Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Microsoft Project. Ability to manage multiple tasks and stakeholders in a dynamic project environment. Willingness to travel to project sites and work during possessions, weekends, night shifts, or non-office hours when required.
