Key Responsibilities

Administrative & Operational Excellence: .Manage complex and dynamic calendars, including scheduling meetings, appointments, and travel arrangements with a high degree of precision.

  • Act as the primary point of contact between the executive and internal/external stakeholders, demonstrating exceptional communication and diplomacy.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with the utmost discretion and integrity. Analytical & Strategic Support (A Key Focus Area):
  • Data Analysis & Reporting: Collect, analyze, and interpret data from various sources to support executive decision-making. Prepare regular and ad-hoc reports on operational metrics, project status, and market trends.
  • Meeting Preparation & Briefing: Conduct pre-meeting research on attendees, topics, and companies. Synthesize complex information into clear, concise executive briefs and agendas to ensure the executive is well-prepared and effective.
  • Project Management Support: Assist in tracking key performance indicators (KPIs) for strategic projects. Analyze project timelines and outcomes, identifying potential bottlenecks or risks and proposing data-backed solutions.
  • Process Improvement: Identify inefficiencies in administrative and operational processes. Analyze the root cause and propose, and sometimes implement, improved systems and workflows to enhance productivity.
  • Financial Oversight: Assist with the preparation and analysis of expense reports, budgets, and invoices, ensuring accuracy and identifying any discrepancies or opportunities for cost savings. Stakeholder & Relationship Management:
  • Foster positive relationships with key stakeholders on behalf of the executive.
  • Facilitate cross-departmental communication and ensure that action items from meetings are clearly documented, assigned, and tracked.

Requirements

Bachelor’s degree in Business Administration, Finance, or a related field.

  • Experience with data visualization tools (e.g., Power BI, Tableau) is a plus.
  • Experience in project management software (e.g., Asana, Trello, Jira).
  • A proactive, "can-do" attitude with the ability to work independently and with minimal supervision. Proven experience as an Executive Assistant or similar role, supporting C-level executives.
  • Demonstrated strong analytical and problem-solving skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
  • Advanced proficiency in Microsoft Office Suite (especially Outlook, PowerPoint, and Excel for data manipulation, pivot tables, and charts).
  • Excellent verbal and written communication skills.
  • Superior time-management and organizational skills, with the ability to prioritize multiple tasks seamlessly.
