Job description
Key Responsibilities
- Provident Fund Trust Management
- Manage the end-to-end administration of the Company’s Exempted Provident Fund (PF) Trust.
- Oversee PF contributions, withdrawals, advances, transfers, settlements, and interest crediting.
- Maintain accurate member records, reconciliations, balances, and statutory documentation.
- Ensure compliance with the EPF & MP Act, 1952, related schemes, and applicable regulations.
- Liaise with EPFO and statutory authorities on inspections, approvals, exemptions, and regulatory matters.
- Track regulatory changes and implement necessary process, system, and documentation updates.
- Pension & Retirement Benefits Administration
- Administer matters relating to the Employees’ Pension Scheme (EPS), including member support, documentation, and compliance.
- Provide guidance to employees and retirees on PF, pension, and retirement benefits.
- Coordinate retirement settlements with HR, Payroll, Finance, and other stakeholders.
- Ensure timely and accurate benefit calculations, documentation, and employee communication.
- Promote awareness and understanding of PF, EPS, and retirement benefit processes.
- Governance, Trusteeship & Compliance
- Support the effective functioning of the PF Trust Board/Trustees.
- Prepare meeting agendas, papers, minutes, compliance updates, action reports, and presentations.
- Ensure adherence to trust rules, statutory requirements, investment guidelines, and governance standards.
- Coordinate with trustees, auditors, investment managers, actuaries, legal advisors, and regulatory authorities.
- Maintain statutory records, filings, returns, and trust-related documentation.
- Drive closure of audit observations and implementation of process improvements.
- Fund Accounting, Audit & Financial Reporting
- Oversee PF Trust accounting, financial reporting, and regulatory disclosures.
- Ensure timely reconciliation of contributions, member balances, investments, bank accounts, and ledgers.
- Coordinate preparation of annual accounts, financial statements, and audit schedules.
- Liaise with auditors, tax advisors, and external consultants.
- Review interest calculations, settlement accounting, and investment income allocation.
- Support investment monitoring in line with regulatory guidelines and trustee-approved policies.
- Payroll, HR & Employee Services
- Partner with HR and Payroll to ensure accurate PF deductions, employer contributions, and compliance reporting.
- Address employee queries on PF, EPS, transfers, withdrawals, nominations, UAN, KYC, and retirement settlements.
- Deliver a high-quality employee experience through responsive and accurate support.
- Act as the organization's subject matter expert on PF and retirement benefits.
- Process Excellence & Digital Transformation
- Drive initiatives to enhance operational efficiency, accuracy, compliance, and employee experience.
- Lead automation, digitization, and simplification of PF and pension administration processes.
- Strengthen internal controls, documentation standards, and maker-checker mechanisms.
- Support implementation and optimization of payroll, PF accounting, employee self-service, and reporting systems.
Requirements
Qualification
- Qualified CMA / CA Inter professional qualification.
- Minimum 5-6 years of experience in an organisation of repute
- Additional certification or experience in Provident Fund, Retirement Benefits, Labour Laws, or Employee Benefits administration will be an advantage. Location: Head Office, Kolkata
