Job description
The School Receptionist is the first point of contact for students, families, staff, and visitors. This role manages front office operations, student support, records, payments, and the lunch program while helping maintain a safe, welcoming, and efficient school environment. Experience working with children, including those with diverse learning and behavioural needs, is preferred.
Key Responsibilities
Front Office & Communication Welcome visitors and respond to phone, email, and in-person inquiries. Maintain attendance and visitor records and communicate effectively with families, staff, and community members. Protect confidential information and provide administrative support to school leadership. Student Support & Safety Support student arrivals, departures, transitions, and lunch periods while following sign-in/out procedures.
Respond to students in reception using positive behaviour support strategies. Provide minor first aid, document incidents, and assist with emergency and safety procedures. Administration & Operations Open and close the school office and maintain student, family, and school records. Organize filing systems and support school events and special projects.
Financial & Inventory Management Process tuition, uniform, lunch, and other school payments in accordance with school procedures. Maintain accurate financial records and receipts and manage PE uniform inventory, sales, and distribution. Lunch Program Coordination Manage lunch orders, payments, allergy and dietary records, and vendor communication.
Receive, verify, organize, and distribute deliveries to Primary, Middle, and High School students. Address lunch-related inquiries and ensure food safety and hygiene standards are met.
Qualifications
& Experience High School Diploma required; post-secondary education preferred. Minimum three years’ experience in administration, customer service, education, healthcare, or a comparable fast-paced setting. Ability to satisfy all safeguarding, child-protection, employment-screening, police-record, and background-check requirements.
CPR, First Aid, Child Safeguarding, and Cayman Islands Government-approved Food Handler certifications, or willingness to obtain them. Proficiency in Microsoft Office Suite and QuickBooks, with experience handling confidential information, financial transactions, and records. Experience working with children and families preferred.
Skills & Attributes Strong organizational, communication, customer service, multitasking, and prioritization skills. Calm under pressure and attentive to records, finances, food allergies, and student safety. Professional, warm, dependable, collaborative, and committed to Hope Academy’s mission and values. Physical Requirements Ability to move around campus, respond to student needs, sit or stand for extended periods, and perform light lifting.
