Your Role

and Impact The Firmwide Scheduler is responsible for coordinating and maintaining the Firm's comprehensive scheduling process across all service lines and office locations. This role works closely with shareholders, principals, department leaders, and engagement teams to allocate personnel resources effectively, balance workloads, and ensure appropriate staffing coverage for client engagements and deliverables.

The Scheduler serves as a central point of coordination for firmwide resource planning, with a focus on optimizing staff utilization, proactively identifying scheduling conflicts, and supporting the Firm's ability to meet client deadlines and operational objectives. This position requires strong organizational skills, attention to detail, sound judgment, and the ability to communicate effectively with personnel at all levels of the organization.

Your responsibilities

Manage the Firm's centralized scheduling process across all service lines, departments, and office locations. Coordinate personnel assignments based on availability, experience, engagement requirements, and client deadlines. Collaborate with Shareholders, Principals, and Department Leaders to balance workloads, prioritize engagements, and address competing resource needs.

Monitor staffing levels, employee utilization, workloads, capacity, and upcoming deadlines to proactively identify scheduling conflicts and capacity constraints. Coordinate scheduling during peak workload periods, including tax season, audit busy season, and other critical deadlines. Maintain visibility into PTO, leaves of absence, holidays, training commitments, and other factors impacting staff availability.

Partner with Human Resources and Department Leaders regarding new hires, onboarding schedules, promotions, transfers, and departures that impact staffing capacity. Maintain accurate scheduling data and prepare reports to support resource planning, capacity forecasting, utilization analysis, and future staffing needs. Facilitate regular scheduling meetings with Department Leaders to review workloads, upcoming deadlines, staffing needs, and resource availability.

Serve as a liaison between engagement teams and leadership to resolve scheduling conflicts and staffing concerns. Communicate staffing assignments, schedule changes, and resource availability to relevant personnel. Perform other duties as assigned by the Chief Operating Officer. What You Bring to the Table One or more years of experience in scheduling, resource management, workforce planning, or a related role.

Experience in public accounting or a professional services environment preferred. Experience coordinating schedules across multiple teams, departments, or locations preferred. Strong understanding of public accounting engagement cycles, including tax, audit, and advisory services preferred. Strong organizational, analytical, and problem-solving skills, with the ability to manage competing priorities in a fast-paced environment.

Excellent communication and interpersonal skills, with the ability to work effectively with personnel at all levels. Demonstrated ability to influence and collaborate with leaders to resolve competing staffing priorities. Proficiency in Microsoft Office, particularly Excel and Outlook; advanced Excel skills, including reporting, data analysis, and pivot tables, preferred.

Experience with scheduling, resource management, or practice management software preferred. Strong attention to detail and ability to maintain accuracy in a dynamic, fast-paced environment. Ability to exercise sound judgment, maintain confidentiality, and work independently in a deadline-driven environment.
