Provide high-level administrative support to leadership, ensuring effective coordination of meetings, events and travel, document control, expense management, and prioritization of key activities to maximize executive productivity Managing strategic priorities and ensuring seamless coordination across internal and external stakeholders.

The Senior Administrative Assistant will be responsible for providing support to various teams within Be. One Mexico as liaison between management and internal / external areas. This position reports directly to the General Manager and will be responsible for on-site support which includes but is not limited to: Support General Manager Mexico : Administrative requirements, logistics, traveling, agenda, others.

Support Management Team Directors : (Medical, Commercial, Market Access, Finance & Commercial Operations). Coordinating meetings and events, CME initiatives follow up, customers support purchasing process (invoicing / PO generation), travel coordination for teams and other responsibilities.

Essential Functions

Administrative & Executive Support Coordinate travel arrangements for senior leadership Provide general administrative support, including documentation, communications, and filing compliance Support Finance Manager in procurement processes, handle expense tracking, invoices, reimbursements, and vendor coordination procurement processes Manage vendor onboarding and maintain vendor database (ERP Concur) Prepare and track Purchase Orders.

Build and maintain relationships with vendors, service providers, and building management Distributors Service & Support Process and follow up purchase orders end to end process from distributors Follow up cross-functional meetings and CME initiatives logistics. HCP’s administrative follow up (Onboarding, SOW, payments, others) Manage logistics including scheduling, in place requirements, and experience working with events agencies.

Manage executive calendars and prioritize meetings Coordinate domestic and international travel (flights, hotels, itineraries, expenses, quotations and closing) Coordinate agendas, meeting minutes, and compliance documentation requirements Minimum Requirements – Education and Experience: Bachelor’s Degree preferred

  • Business Administration, Communications, International Relations, or related field Bilingual with Fluency in English Required: Desirable Intermediate to advanced (written and verbal) 5+ years of experience in administrative, operations, or office management roles supporting directive leadership Other Experience: Experience in corporate environments with exposure to executive committees or leadership team events Experience with ERP/CRM systems (SAP) Expense tracking and administrative control management Strong organizational and multitasking capabilities in fast-paced environments Strong stakeholder management skills with internal teams and external partners High attention to detail with a proactive mindset, solution-oriented mindset Teamwork mindset and Problem-solving skills Supervisory Responsibilities: No Travel: Not required Computer Skills: Microsoft Office, Teams, Zoom, Outlook SAP operating Modules SD / FE #LI-Remote Global Competencies When we exhibit our values of Patients First, Driving Excellence, Bold Ingenuity, and Collaborative Spirit, through our twelve global competencies below, we help get more affordable medicines to more patients around the world.
