Job description

Purchasing Specialist Industry: Commercial Services | Doors, Gates, Access Control & Field Services Employment Type: Full-Time Position Summary We are seeking a highly organized, detail-oriented Purchasing Specialist to support our growing commercial service operations. This individual will be responsible for sourcing, purchasing, and coordinating the delivery of materials, equipment, parts, and supplies necessary to support installation, maintenance, repair, and service projects.

The ideal candidate will have purchasing or procurement experience within a commercial service-based industry , such as commercial doors, automatic gates, access control, HVAC, electrical, plumbing, construction, or other skilled trades. Experience with Service. Titan or similar field service management software is highly preferred.

This position requires someone who can work effectively with service technicians, project managers, dispatchers, and vendors to ensure materials are available when needed while maintaining cost efficiency and accurate inventory records.

Key Responsibilities

Purchasing & Procurement Manage the purchasing of materials, parts, equipment, and supplies for commercial service and installation operations. Process purchase orders, obtain vendor quotes, and ensure timely ordering and delivery of materials. Source and negotiate pricing with suppliers to maintain competitive costs and maximize profitability.

Identify reliable vendors and develop strong supplier relationships. Monitor outstanding purchase orders, backorders, and delivery schedules. Ensure materials meet job specifications, quality standards, and operational requirements. Service & Operations Support Coordinate with service technicians, dispatchers, project managers, and operations leadership to identify material requirements.

Prioritize purchasing requests based on service urgency, project deadlines, and customer needs. Source specialty parts and replacement components for commercial doors, automatic gates, access control systems, and related equipment. Coordinate material deliveries to job sites, warehouses, and branch locations. Assist with emergency purchasing requests to minimize technician downtime.

Track material usage and ensure accurate allocation of purchases to service jobs and projects. Inventory & Vendor Management Monitor inventory levels and coordinate replenishment of commonly used parts and supplies. Maintain accurate purchasing records, pricing information, and vendor documentation. Assist with inventory reconciliation, cycle counts, and stock organization.

Identify opportunities for cost savings, improved purchasing processes, and vendor consolidation. Coordinate returns, warranty claims, credits, and exchanges with suppliers. Systems & Administrative Responsibilities Utilize Service. Titan or similar software to manage purchasing activities, track materials, and support job costing.

Maintain accurate purchase orders, receipts, invoices, and inventory transactions. Work with accounting to resolve discrepancies between purchase orders, invoices, and deliveries. Monitor purchasing trends, material costs, and vendor performance. Support improvements to purchasing procedures and operational workflows.

Qualifications

Required 2+ years of purchasing, procurement, inventory management, or materials coordination experience. Experience working within a commercial service, construction, or skilled trades environment . Strong understanding of purchase orders, vendor management, material sourcing, and inventory processes. Ability to manage multiple purchasing requests in a fast-paced, service-driven environment.

Strong organizational, communication, and problem-solving skills. Proficiency in Microsoft Office, particularly Excel. Experience working with purchasing, inventory management, ERP, or field service software. Preferred Experience with Service. Titan or comparable field service management platforms such as Build. Ops, Field.

Edge, Service. Trade, or similar systems. Purchasing experience within commercial overhead doors, automatic gates, access control, HVAC, electrical, plumbing, or mechanical services. Familiarity with parts, equipment, and materials commonly used in commercial installation and service operations. Experience supporting field technicians and coordinating time-sensitive material deliveries.

Knowledge of job costing, purchase order reconciliation, and inventory control. Experience working in a multi-branch or multi-location service organization.
