Position Summary
The AP Entry Clerk Intern supports the Accounts Payable function by accurately entering, coding, and organizing vendor invoices and related financial documents. This is a supervised, entry-level internship designed to provide hands-on experience in day-to-day accounting operations. The intern will not have authority to approve invoices, issue payments, or initiate account transfers.
All work product is subject to review and approval by the AP Associate or Finance management prior to finalization. Primary Responsibilities Enter and code vendor invoices — Accurately enter vendor invoices into the accounting system with the correct general ledger coding, cost center, and supporting documentation attached.
Match invoices to purchase orders — Verify that invoices correspond to approved purchase orders or receipts and flag any discrepancies to the AP Associate or supervisor for resolution. Maintain vendor and invoice files — Organize and maintain physical and digital invoice records in a consistent, audit-ready manner. Assist with AP aging and reporting — Pull basic reports from the accounting system and assist in preparing materials for the weekly AP meeting as directed.
Support the AP team with administrative tasks — Provide general support including scanning, filing, data entry, and responding to routine vendor inquiries under supervision.
Qualifications
Required Currently enrolled in or recently completed an Associate's or Bachelor's degree program in Accounting, Finance, Business Administration, or a related field Strong attention to detail and accuracy in data entry Proficiency in Microsoft Office, particularly Excel Ability to maintain confidentiality of sensitive financial information Strong organizational skills and ability to manage multiple tasks with competing deadlines Preferred Prior coursework or experience in accounting or bookkeeping Familiarity with accounting software (e.
g., QuickBooks, Sage, or similar ERP systems) Basic understanding of accounts payable processes and general ledger coding Work Environment & Compensation Work Location: On-site at FSS Technologies headquarters Schedule: Part-time or full-time hours available; flexible scheduling considered for students Compensation: $18-$23Hourly, commensurate with experience and education level T his position operates in a standard office environment.
The employee may be required to sit for extended periods, use a computer for the majority of the workday, and occasionally lift items up to 10 pounds (e.g., files or document boxes).
