Job at a Glance Location: Fremont, CA, on-site every day Schedule: Full-time, non-exempt (hourly), Monday-Friday between 8:30am and 5:30pm Pay: $21.00 - $23.50/hr, depending on experience. Higher rates require bilingual Spanish skills.

You can navigate the nuances of patient communication in a clinical mental health setting accurately and with care. Comfort with multiple technology programs at once. You can move between our EHR, Zoom, Google Workspace, and other systems throughout the day. What You'll Be Doing Answer calls and schedule appointments: Handle scheduling, rescheduling, and general inquiries with clarity and compassion.

Verify insurance and explain coverage: Work with insurers to verify eligibility and help clients understand their benefits. Prepare patient records: Keep registration and appointment records complete, accurate, and HIPAA-compliant. Support clinical staff: Manage paperwork, calendars, and clerical tasks for therapists and nurse practitioners.

Keep the office welcoming: Keep the clinic clean, organized, and inviting. A typical day starts with email and G-chat check-ins with providers and a review of your assigned clinicians' calendars. You'll then answer client questions by phone and email, complete provider and patient trackings, and coordinate with colleagues on priority tasks.

Before wrapping up, you'll confirm tomorrow's tasks and documentation.

Requirements

Fluency in Spanish language and culture, well beyond conversational. You can discuss clinical matters with Spanish-speaking clients accurately and sensitively. Ability to work in multiple technology programs at once. This includes EHR systems, Zoom (including helping clients use it), and Google Workspace (Docs, Sheets, Gmail, Calendar), and you learn new systems quickly.

Prior medical or mental/behavioral health office experience, including insurance, scheduling, and EHRs preferred but not required. Also required: Customer service excellence, especially with nervous or uncertain clients Strong organization and attention to detail Clear, professional spoken and written communication Punctuality, reliability, and regular attendance Ability to sit or stand at a computer for extended periods Qualities that make a difference: adaptability, empathy and patience, calm problem-solving, a learner mindset, and a team-player attitude.

In this role, you'll work in-person at our Fremont clinic every day. You'll be the first point of contact for clients and the day-to-day administrative support for our remote clinicians across 5 states.
