Job description

We are looking for a proactive, experienced Tech and Facilities Manager to join our team, helping to maintain our client’s facilities, logistics and facilitation of the home working and Tech environment onsite at our Colombo office and virtually for our other global office locations. We are looking for a candidate to join our organisation who has some previous experience in tech and facilities and has some knowledge and connections across the market.

It involves leadership of vendors, logistics, onboarding/offboarding, and health and safety frameworks while maintaining operational control and compliance with business continuity and governance requirements. The Efficient Ops team make sure our business is running efficiently and safely, at all times. The role will report into our Managing Director and will be responsible for (but not limited to): Tech

  • Maintaining an overview of IT Services and being the main point of contact for external IT Support services as required
  • Deal with day to day I.T issues and escalate where needed
  • Auditing of all I.T equipment and maintaining stock control of all I.T equipment for each project
  • Procuring all I.T. equipment for each project and liaising with various vendors.
  • Asset management/tagging, updating asset registers and asset issued logs
  • Work with Tech provided to maintain secure endpoint environments
  • Monitor and support the implementation of cybersecurity
  • Support in rolling out Cyber Security Awareness annual training
  • Manage Adhoc IT projects Office, Logistics and Remote Working Management
  • The day-to-day management of our clients' offices in Colombo, Sri Lanka
  • Support the day-to-day virtual management of our other sites across London, Leeds, and the Philippines, making sure we’re running as efficiently and smoothly as possible
  • Space planning for our current and future properties to support location strategy
  • Manage the remote working environment and logistics of equipment
  • Managing the building access to and security of our facilities
  • Liaise and manage the relationships with all vendors, including building manager or landlord, tech suppliers, service utility providers, security guards and cleaners.
  • Delivering weekly, monthly and annual compliance tasks, checks and reporting in relation to our facilities (e.g. arranging regular testing of electrical equipment and safety devices)
  • Managing our health and safety responsibilities on our various sites as well as for home workers, including maintaining logs, policies and approvals and making sure everyone knows their responsibilities
  • Operating as our primary first aider and fire warden, you’ll deliver training and co-ordinate the activities of those with associated responsibilities across our sites
  • Making sure that visitors to our sites are checked in correctly, are kept safe and their access is controlled
  • Maintain office supplies and resources for office and home workers
  • Organise delivery and collections through couriers or undertake adhoc deliveries
  • Maintaining the stock and inventory at the storage facility and offices
  • Support with Registered office coordination across all locations Onboarding and Offboarding
  • Liaising with our HR Service team to make sure that new joiners are set up and ready to go on their first day – including systems access, log ins, seating, buildings access, welcome packs, home working environment and equipment logistics
  • Enabling the physical activities of teams around our business remotely or in the office, for example organising and setting up video conferencing and webinar equipment when it’s required or assisting with technical issues whilst our people are home working
  • Supporting offboarding activities, be that collections of kit, locking of accounts or maintaining offboarding log Other
  • Liaising with other teams and externally stakeholders as required
  • Maintain and support Business Continuity arrangements
  • Track compliance activities, risks, and operational incidents for management review
  • Communicating with the Efficient Ops team – asking questions, sharing experience, and making suggestions
  • Updating data protection rules and regulations and ensuring everyone is aware of new guidance
  • Keep process SOPs up to date Requirements Experience Needed To excel in this role you will have: The successful applicant will also be results driven, with strong business acumen and a high level of personal integrity. Excellent communication, presentation and interpersonal skills are also essential. Essential Requirements:
  • Fluent in English (written and verbal, Level C1) to effectively liaise with stakeholders.
  • A solid working knowledge of facilities management, interior design and space planning tools and techniques
  • A strong professional network and have a thorough knowledge of the associated trades and organisations that we can use to build and maintain our estates
  • Ideally some experience in contract negotiations, space planning etc.
  • At least 3-5 years of experience in a similar role. Knowledge of:
  • Data protection laws and GDPR and how these apply to everyone
  • Health and safety and associated laws and regulations as they apply to our estates including fire safety
  • Stakeholder management tools and approaches
  • Business continuity management and crisis response tools and techniques
  • Up to date technology tools and their use (e.g. video conferencing and webinar tools)
  • Strong work ethic with a drive to learn and go beyond the job description, working flexibly and enthusiastically.
  • Ability to handle confidential information with integrity and professionalism.
  • High proficiency with tech tools (e.g., MS Office) and a curiosity to explore alternative solutions Skills and Abilities
