We are looking for a Lean-Pro Student Experience Concierge to serve as the operational heartbeat of our student journey. You will be responsible for ensuring every prospective student feels supported, informed, and excited to take the next step in their health journey.
Your role
includes managing consultation calendars, handling real-time scheduling adjustments, following up with leads, and ensuring the team stays aligned by collaborating across departments. You will play a key role in creating seamless experiences for students, from behind the scenes to direct interactions. This role requires someone who thrives in a fast-paced environment and takes pride in delivering exceptional service.
Responsibilities
Booking & Calendar Management Monitor, post, and reassign ghost sales calls to available Senior Health Advisors in real-time. Communicate with leads before their appointment, ensuring timely connections, and handle no-shows or delays. Manage booking reassignment and update availability daily on OnceHub and GHL. Reschedule consultations as needed and issue refunds when necessary.
Lead Coordination & Communication: Call leads who have purchased but not yet scheduled their consultation. Manage reschedule requests and coordinate with the rescheduling team to follow up with unbooked leads. Respond to voicemails and route requests to the appropriate departments or team members. Send personalized texts and emails using prewritten templates and lead data.
CRM & Pipeline Support: Manage CRM updates in GHL (e.g., “needs scheduled,” “lost,” “rescheduled”). Track lead communication, refunds, and call outcomes in organized spreadsheets. Complete and log assigned calendar tasks, such as confirming rescheduled attendance. Consult Support & Documentation: Provide leads with links to health assessments, questionnaires, and booking pages.
Answer frequently asked questions using canned responses and ensure leads are well-prepared before their consultation. Maintain detailed documentation on lead interaction status, call attendance, and reassignment notes.
Requirements
At least 1 year in a customer-facing or administrative role (preferably in a health-related field). Proficiency in CRM systems (preferably GoHighLevel), scheduling tools (OnceHub), and communication platforms (Slack, Gmail). Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
Exceptional written and verbal communication skills in English. Comfortable using video conferencing tools like Zoom. Ability to work independently and as part of a team. A proactive mindset with a passion for supporting others and solving problems. Nice-to-have: Familiarity with health coaching, wellness assessments, or related fields.
Previous experience in scheduling, calendar management, or customer support. Comfort with navigating digital tools and platforms with minimal guidance.
