Job description

JOB SUMMARY

The Business Systems Analyst serves as Vanguard Charitable’s business-to-technology translator, partnering with stakeholders across business functions to define requirements, analyze solution options, and optimize use of business systems and technologies. This role builds deep, practical knowledge of SaaS platforms, vendor solutions, and automation technologies used across the organization to recommend practical solutions, and supports business backlog management, UAT coordination, and production support analysis that inform prioritization recommendations across the business systems landscape.

ESSENTIAL JOB FUNCTIONS Requirements Analysis & Business Rules Definition (35%) Support the intake framework by helping stakeholders frame problem statements and evaluate current process against desired outcomes. Partner with business stakeholders to elicit, document, and validate business requirements, business rules, and acceptance criteria for system enhancements and new platform capabilities.

Translate business needs into user stories, functional specifications, and current-state/future-state workflows. In collaboration with business parters, support discovery sessions that help stakeholders distinguish the underlying business problem from a requested solution. Solution Analysis, Testing & UAT Coordination (25%) Evaluate solution options, system configurations, and vendor capabilities, engaging vendors to clarify options, constraints, and recommendations.

Validate delivered solutions against documented requirements and acceptance criteria. Coordinate UAT planning, including test scenario development, business tester coordination, defect tracking, and sign-off prior to implementation. Automation, Integration & Platform Expertise (25%) Build and maintain functional expertise in SaaS applications, vendor platforms, and supporting technologies used across business functions.

Identify opportunities to improve productivity through automation and workflow enhancements. Within approved business-managed platforms and established governance standards, develop, test, document, and maintain fit-for-purpose automations and interim solutions. Coordinate with Technology on solutions involving enterprise architecture, integrations, security, infrastructure, or broader technical ownership, and review vendor documentation to recommend enhancements.

Business Backlog Support & Production Support Analysis (15%) Support maintenance of the business backlog for assigned systems, ensuring items are well-documented and appropriately sized. Investigate production support issues, analyze root cause, and recommend resolutions with Technology and vendor teams. Develop reporting and basic SQL query analysis to monitor system performance.

QUALIFICATIONS

Education

& Training Bachelor’s degree required, or an equivalent combination of education and relevant work experience. Concentration in business, information systems, or a related field preferred. Licensure & Certification IIBA business analysis certification (CCBA, CBAP, or equivalent) preferred, or willingness to obtain within a defined period post-hire.

Agile/Scrum certification (CSM, PSM, SAFe, or equivalent) preferred Knowledge, Skill, and Ability Knowledge of business analysis practices—including requirements elicitation, facilitation, and current-state/future-state process design—and skill in translating business needs into functional requirements, user stories, and acceptance criteria.

Ability to evaluate solution options, vendor capabilities, and system configurations; investigate production support issues and recommend resolutions in partnership with Technology and vendor teams. Knowledge of Agile delivery methodologies, including backlog grooming, sprint ceremonies, and prioritization support, along with UAT coordination skills such as test case development, defect tracking, and business validation.

Basic proficiency in SQL or query development, with the ability to build reporting that supports system performance monitoring. Proven experience in automation and workflow technologies, including Ui. Path and RPA concepts, with the ability to identify opportunities and develop, test, document, and maintain automations in approved business-managed platforms within established governance standards.

Ability to rapidly and independently learn new SaaS applications, vendor platforms, and business workflows, building practical expertise; leverages AI-enabled tools to increase efficiency. Strong facilitation, stakeholder-engagement, and communication skills, with the ability to translate technical concepts for non-technical audiences and distinguish underlying business problems from requested solutions.

Demonstrated advanced Excel (e.g. Power Query, Power Pivot, nested and array formulas, and/or VBA macros), and comfort working with large, complex, or inconsistently structured data sets. Proficiency with Microsoft 365 applications and collaboration tools. Familiarity with Atlassian products (Jira, Confluence) Experience Minimum of three years of progressive experience in business systems analysis, business analysis, or related business technology roles.

Experience gathering and documenting business requirements, user stories, and acceptance criteria for system enhancements or implementations. Experience supporting UAT planning, test execution, and production support analysis preferred. Experience with automation or workflow technologies (e.g., Ui. Path, Power Automate, Power Query, Visual Basic) and SaaS platform configuration concepts preferred.

Experience in philanthropy or financial services preferred
