Job Description Title : Procurement & Logistics Coordinator Supervisor : Procurement & Warehouse Manager Department : Procurement & Warehouse FLSA Status : Non-exempt/hourly Summary/Objective The Procurement and Logistics Specialist is responsible for (a) sourcing, negotiating, and purchasing goods and services in alignment with the company’s quality, quantity, and cost expectations and (b) coordinating and optimizing the movement of goods, materials, and equipment to ensure timely, cost-effective, and efficient delivery.
This involves planning logistics processes, managing shipments and inventory, liaising with suppliers and carriers, and ensuring compliance with regulations and company policies. This role also supports inventory tracking, and supplier management to ensure timely delivery and optimal inventory levels.
Essential Functions
Procurement Source and procure goods and services in accordance with company needs and standards. Evaluate, negotiate, and administer purchase agreements with suppliers. Work side-by-side with Warehouse Specialist to track inventory levels and restock supplies and materials as needed. Serve as the main point of contact for suppliers, address inquiries, concerns, and quality issues.
Maintain accurate records of purchases, pricing, and inventory in tracking systems Track tools and equipment issued and ensure proper documentation. Collaborate with internal departments to forecast supply needs and manage delivery timelines. Ensure all procurement activities comply with internal policies and budget guidelines.
Ensure the warehouse and office is clean, organized, and compliant with safety regulations. Perform other duties as assigned. Logistics Source and coordinate with freight forwarders to manage shipments, ensuring cost-effective solutions without compromising service quality Coordinate inbound and outbound logistics to ensure timely, accurate, and cost-effective movement of goods and materials.
Manage shipping and receiving processes, including scheduling, documentation, and communication with carriers, freight forwarders and suppliers. Track and monitor shipments, proactively addressing delays or issues and providing updates to relevant departments and/or projects. Maintain accurate logistics records, including shipping documents and delivery confirmations.
Ensure compliance with applicable transportation, safety, and customs regulations (local and international). Collaborate with warehouse, other department and project teams to align logistics planning with operational and project requirements. Resolve delivery discrepancies, damaged goods, or freight claims in a timely and professional manner.
Coordinate urgent or special logistics requests, such as time-sensitive equipment mobilizations or high-priority shipments. Prepare reports and analyze logistics performance data to support decision-making and process improvements. Perform other related duties as assigned in support of logistics operations.
Qualifications
Bachelor’s degree in supply chain management, business administration, accounting, or any related field is preferred. One year of relevant experience required. Strong understanding of procurement and logistics processes, supplier management Strong understanding of international shipping procedure Strong organizational, administrative, and time management skills.
Excellent written and communication skills. Strong verbal and written communication skills Strong problem-solving skills Ability to negotiate Proficient in Microsoft Office Suite or similar software. Valid Guam Driver’s License Competencies Communication proficiency Ethical Conduct Adaptability & Resilience Time Management & Multitasking Problem Solving and Decision Making Customer/Client Focus Technical Capacity Supervisory Responsibility This position has no supervisory responsibilities.
Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers, and filing cabinets. Physical Demands Prolonged periods of sitting at a desk and working on a computer. Frequent use of hands for typing, data entry, and handling documents.
Occasional standing, walking, bending, or reaching to access files, storage areas, or inventory. May be required to lift, move, or carry items up to 25 pounds (e.g., small equipment, samples, or boxes). Periodic visits to shipping/receiving areas, which may involve exposure to noise, dust, or changing temperatures. Must be able to safely navigate warehouse environments and follow safety protocols.
Position Type/Expected Hours of Work This is a full-time, non-exempt hourly position. Hours of Operation are Monday through Friday, from 8:00 a.m. to 5:00 p.m. Saturday and holiday if needed. Travel No travel is expected for this position.
