Job Summary
The Controller is responsible for leading the accounting and financial operations of a multi-entity organization engaged in wholesale fuel distribution, convenience store operations, real estate development, and real estate investment/rental property management. This role requires exceptional technical accounting expertise, strong leadership capabilities, and the ability to manage complex financial structures in a fast-paced, diversified environment.
The Controller provides strategic leadership within the Finance Department, including oversight of Accounts Receivable (AR), Accounts Payable (AP), Fuel Processing, Treasury, Payroll, and Audit teams. This role is responsible for ensuring daily financial operations are executed with accuracy, efficiency, and full compliance with company policies and regulatory standards.
The ideal candidate will have extensive experience working with ERP systems used in the fuel and convenience retail industries, specifically PDI Technologies and a deep understanding of industry specific accounting practices, including fuel inventory accounting, margin analysis, real estate development, capital project accounting, and property management financial reporting.
Manage the company’s business insurance programs, including obtaining quotes, coordinating renewals, and maintaining coverage for general liability, property, auto, builder’s risk, workers’ compensation, cyber, and other required policies. Act as the primary point of contact with insurance brokers and carriers, ensuring policies are appropriate, cost-effective, and aligned with business needs.
Responsibilities
Oversee all accounting functions for multiple entities, including general ledger management, month-end and year-end close processes, and consolidated financial reporting. Ensure compliance with GAAP and industry-specific accounting standards across fuel distribution, convenience retail, and real estate operations. Prepare timely and accurate financial statements, management reports, cash flow forecasts, variance analyses, and operational performance metrics.
Conduct critical analysis of revenue and expenses to identify trends, improve profitability, and increase operational efficiency. Collaborate with the CFO to align financial reporting with operational performance and company strategy. Lead and participate in audit preparation, regulatory reporting, and risk management initiatives to ensure compliance, transparency, and financial integrity.
Manage and optimize cash flow through effective oversight of billing, collections, treasury activities, and vendor payment processes. Establish, monitor, and continuously improve internal control systems to safeguard assets, reduce risk, and ensure process integrity across all entities. Lead departmental meetings and performance reviews to drive accountability, process improvement, and team development within the Accounting Department.
Operational & Industry-Specific Accounting: Manage fuel processing activities to ensure proper data integration, pricing validation, tax compliance, accurate revenue recognition, and margin integrity across all business units. Monitor accounts receivable aging and collection performance; implement strategic initiatives to reduce delinquencies, improve Days Sales Outstanding (DSO), and strengthen credit risk management.
Oversee accounts payable accuracy and efficiency, ensuring timely vendor payments, contract compliance, and strong vendor relationship management. Oversee accounting for convenience store operations, including daily sales reporting, credit card reconciliation, and shrink analysis. Lead real estate accounting functions, including job costing for development projects, fixed asset tracking, depreciation schedules, lease administration, and rent roll reporting for investment properties.
Oversee retail and merchandising audit functions to maintain regulatory and policy compliance, detect irregularities, mitigate risk, and ensure financial transparency across all store operations. Systems & Process Optimization: Serve as the internal subject matter expert for PDI Technologies ERP system, including configuration, reporting, and optimization.
Identify opportunities to streamline accounting processes and implement automation where appropriate. Partner with IT, Operations, Commercial, and Facilities departments to integrate business systems, enhance data flows, and support multi-entity scalability. Ensure financial data integrity and cross-departmental process alignment.
Develop and implement financial procedures, policies, and system improvements to enhance departmental efficiency, scalability, and internal control effectiveness. Leadership & Cross-Functional Collaboration: Supervise accounting staff and provide coaching, performance management, and professional development in collaboration with Human Resources.
Partner with executive leadership to support strategic decision-making. Coordinate with external auditors, tax advisors, financial institutions, insurance brokers, and carriers. Lead and develop departmental managers, ensuring alignment with financial objectives and organizational strategy.
Qualifications
Bachelor’s degree in accounting or related field. 7+ years of progressive accounting experience, including at least 3 years in a supervisory role. Strong technical accounting background with deep knowledge of GAAP. Proven experience working within multi-entity corporate structures. Strong analytical, organizational, and problem-solving skills.
Excellent communication skills and ability to collaborate across departments. Preferred: CPA certification Experience in wholesale fuel distribution and convenience retail accounting, including fuel tax reporting. Experience in real estate development and investment property accounting, including construction job costing and lease administration.
Experience with PDI Technologies ERP software in fuel distribution and/or convenience store environments. Background in implementing or upgrading ERP/accounting systems. Competencies: High attention to detail with the ability to manage competing priorities. Strong leadership presence with the ability to guide and mentor accounting staff.
Adaptability in a dynamic environment with diverse business lines. Strategic thinker able to translate data into meaningful insights.
