Job description
Description Job Summary: Performs complex administrative tasks using a personal computer. Coordinate’s office services and administrative activities for Job Corps center; interprets operating policies and Core Values; exercises independent judgment in the resolution of administrative problems. Duties/Responsibilities:
- Must model the Company Core Values and the operating principles at all times.
- Must create and sustain positive working relationships with co-workers.
- Document Production: Drafts and formats professional business letters, memorandums, extensive reports, charts, checklists, and maintaining and updating all student schedules.
- Software Mastery: Utilizes Microsoft Office, Office 365, OneDrive, Adobe, and AdobeSign to manage data, digital workflows, and electronic signatures.
- Quality Assurance: Proofreads all outgoing materials with a high attention to detail to correct grammatical, punctuation, and spelling errors.
- Customer Service: Delivers a high level of customer service when handling telephone inquiries, electronic mail, and visitor reception.
- Calendar & Logistics: Manages calendar coordination by scheduling appointments, executing event preparation, and providing accurate meeting minute-taking.
- Creative Design: Creates polished promotional flyers and custom award certificates for student and staff recognition and events.
- Office Operations: Operates and maintains standard office equipment including computers, laptops, printers, photocopiers, and fax machines.
- Mail Management: Handles, sorts, and distributes incoming and outgoing physical and digital mail efficiently.
- Procedural Compliance: Executes daily workflows in strict alignment with standard operating procedures and organizational standards.
- Technical Agility: Demonstrates high learning agility by quickly mastering new office applications, software, and digital programs.
- Maintains equipment, data files, supplies, etc.
- Attends meetings and conferences to furnish information and take notes.
- Establishes and maintains confidential files and records.
- Orders necessary office supplies and equipment.
- Operates office machines and instructs others in the operation of same.
- Assists in the training of new clerical personnel.
- Attends in-service training sessions.
- Maintains confidentiality.
- Assist in developing the staff schedule.
- Performs other duties as assigned. Hours: Monday thru Friday 8:00 AM to 5:00 PM Requirements Qualifications: Minimum : Must have a High School diploma with at least three years’ practical experience. Model company Core Values. Preferred : Possess a two-year business college degree. Knowledge : Ability to perform administrative duties without immediate and constant supervision. Ability to type accurately at a fast speed. Ability to take dictation at a fast speed. Proficient in the use of a personal computer; working knowledge of software applications such as Word Perfect, MS Word, Excel. Thorough knowledge of office procedures. Good organizational skills. Ability to deal effectively with the public and government officials. Sound business telephone techniques. Ability to proofread and correct grammatical, punctuation and spelling errors.
