Position Summary
The CRM Administrator is responsible for the day-to-day administration, maintenance, and optimization of Hub. Spot across the organization. This role partners closely with Sales, Marketing, Customer Service, and other key stakeholders to ensure CRM data is accurate, consistent, and effectively utilized. The CRM Administrator supports system configuration, workflows, reporting, and user adoption while providing training and ongoing support to help teams maximize the value of Hub.

Essential Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. Serve as the primary system administrator and day-to-day point of contact for Hub. Spot, including Sales Hub, Marketing Hub, and Service Hub, as applicable.
Administer and maintain user access, permissions, deal stages, custom properties, object associations, and other system configurations to support business processes. Develop, maintain, and troubleshoot CRM workflows and automations, including lead routing, task creation, follow-up activities, reminders, and lifecycle stage updates.
Maintain CRM data integrity through ongoing monitoring, data validation, deduplication, and established data governance and entry standards. Develop and maintain dashboards and recurring reports related to sales performance, pipeline activity, customer trends, user activity, and other key business metrics. Analyze CRM data and support the identification of trends and opportunities related to customer acquisition, retention, cross-selling, upselling, and sales productivity.
Partner with Sales, Marketing, Customer Service, IT, and Operations to support CRM processes, customer lifecycle activities, system enhancements, and continuous improvement initiatives. Support marketing and customer engagement activities through customer segmentation, lead scoring, lifecycle management, campaign support, and account-based marketing initiatives.
Support integrations and data flow between Hub. Spot and other business systems, helping ensure accurate and consistent information across platforms. Provide day-to-day support to Hub. Spot users, troubleshoot system and user issues, and coordinate resolution of more complex technical issues as needed. Develop and deliver initial and ongoing Hub.
Spot training for sales users and other CRM users to promote consistent system utilization, data entry, workflows, and best practices. Create, maintain, and update CRM training literature and educational resources, including standard operating procedures (SOPs), user guides, job aids, quick-reference materials, presentations, and internal knowledge-base content.
Identify user training needs and adoption gaps and provide targeted coaching, refresher training, and educational resources to improve CRM proficiency and utilization. Communicate and provide training on new Hub. Spot features, system enhancements, processes, and workflow changes to impacted users. Identify opportunities to improve CRM functionality, business processes, reporting, and user experience based on system data, business needs, and user feedback.
Stay current on Hub. Spot functionality and enhancements and support the implementation of relevant new features and capabilities. Perform other related duties and responsibilities as assigned.
Requirements
Bachelor’s degree or equivalent experience preferred 3+ years of hands-on Hub. Spot administration experience. Sales Hub required; Marketing Hub and/or Service Hub, preferred Demonstrated experience maintaining workflows, custom properties, and reports in Hub. Spot Strong understanding of B2B sales processes, ideally in distribution, industrial, or manufacturing environments Experience training and supporting non-technical end users across multiple teams or locations Strong analytical skills with the ability to help translate CRM data into actionable recommendations Strong organizational and communication skills Technical aptitude with strong business and analytical skills.
Solid computer skills and use of Microsoft Office Products, including Word and Excel Supervisory Responsibility This position has no supervisory responsibilities Physical Demands An employee must meet the physical demands described here to successfully perform the essential functions of this job. While performing this job, the employee must stand for long periods, talk, hear, and use hands and fingers to operate a computer and telephone, reach the keyboard, stoop, and kneel.
This person must be able to lift, carry, or set down 50+ pounds. Specific vision abilities required by this job include close vision for computer work. Travel 10-20% travel Position Type and Expected Hours of Work This is a full-time, exempt position. The position may require occasional work outside regular business hours to meet operational needs.
