COMPANY & POSITION OVERVIEW At Spectra Management, we connect high-performing global talent with leading U.S. healthcare organizations. On behalf of our premier healthcare partners, we are seeking dedicated and compassionate Medical Call Center & Administrative Assistant Representatives to serve as the vital first point of contact for patients, healthcare providers, and clinical teams.

This dual-impact role balances high-touch patient care with executive administrative support: Call Center Focus: Manage inbound/outbound communications, coordinate appointments, handle non-clinical inquiries, and maintain precise Electronic Medical Record (EMR) documentation. Administrative Focus: During non-call volume hours, step in as a dedicated administrative assistant—managing executive and provider calendars, organizing schedules, and drafting professional correspondence.

KEY RESPONSIBILITIES

Serve as the primary liaison for patients, caregivers, and healthcare partners. Handle high-volume inbound calls with empathy, poise, and professional de-escalation skills. Patient Scheduling & EMR Documentation: Schedule, reschedule, and cancel appointments following practice-specific rules. Verify demographics, contact details, and insurance info with zero-error real-time EMR logging.

Triage, Escalation & Routing: Strictly follow protocols to identify urgent cases and escalate them immediately to nursing staff. Standard: Maintain strict boundaries—never provide medical or clinical advice. Executive & Administrative Support: Manage provider and executive calendars, resolve scheduling conflicts, organize inboxes, maintain operational Excel sheets, and draft correspondence during non-call hours.

Operational Excellence: Meet key performance metrics across call quality, handle times, calendar accuracy, and HIPAA compliance while maintaining strong collaboration with on-site clinical teams.

QUALIFICATIONS

& REQUIREMENTS Work Schedule Availability: Full commitment to either the Full-Time evening shift ( M–F 4:00 PM – 12:00 AM EST ) or Weekend Part-Time shift ( Sat 4:00 PM – 12:00 AM EST & Sun 8:00 AM – 4:00 PM EST ). Experience: 1–2+ years of experience in a call center, customer service, medical office, or administrative assistant role.

Language & Communication: Professional English fluency (verbal and written) with an exceptionally warm, professional phone manner. Bilingual capabilities (English/Spanish) are a strong plus. Technical Proficiency: High proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams). Ability to manage shared calendars, maintain spreadsheets, type rapidly, and navigate multi-screen environments.

Preferred Knowledge: Prior exposure to EMR/medical scheduling platforms (e.g., Athenahealth, e. Clinical. Works, Epic, Cerner), basic medical terminology, and strict HIPAA compliance . PERFORMANCE METRICS First-Call Resolution & Call Quality Scores Appointment Scheduling & EMR Documentation Accuracy Calendar Management & Task Completion (Non-Call Hours) Speed of Answer, Average Handle Time (AHT), & Schedule Adherence 100% Adherence to HIPAA & Patient Data Privacy Protocols 💡 Candidate Tips: Make Your Application Stand Out!

To ensure our recruiting team quickly flags your resume during this early-access campaign, tailor your CV using these tips: Highlight Professional English Fluency: Clearly state your English language proficiency (e.g., Professional English Fluency / Native / C2) in your resume header or summary. Mention experience serving US-based healthcare patients or clients.

Detail Specific Technical Tools & EMR Systems: Explicitly name any EMR or clinical software you have used (e.g., Epic, Cerner, Athenahealth, e. Clinical. Works) alongside your Microsoft Office skills (specifically Outlook calendar management and Excel data entry). Showcase Dual-Role Skills (Customer Service + Admin): Highlight experience where you managed both phone volume and executive support (e.

g., "Managed high-volume patient calls while coordinating daily calendars for 3 clinical providers"). Quantify Your Efficiency & Volume: Use clear metrics where possible (e.g., "Handled 70+ inbound calls daily while maintaining a 98% scheduling accuracy rate"). Format for ATS Readability: Use clean, standard headings (Work Experience, Education, Technical Skills) in PDF or Word format so our tracking system parses your qualifications correctly.
