Job description
Caldwell University invites applications for a Collections Coordinator. Reporting to the Assistant Director of Student Accounts, the Collections Coordinator is an integral member of the Student Financial Services team. This position supports tuition revenue, student retention, and financial clearance efforts through proactive outreach to students with outstanding balances or those at risk of stopping out due to financial challenges.
As a student advocate, the Coordinator serves as a resource for students and families by providing guidance on payment options, resolving account issues, and supporting compliance with the University's financial clearance policies. The Coordinator also provides coverage at the One Stop front desk in collaboration with campus partner offices and works closely with the Loan Coordinator to assist students with the federal and private loan application process.
Job duties include but are not limited to: Serve as a primary resource for students and families regarding student balance resolution providing accurate guidance and resolving account-related issues including federal financial aid, scholarships, grants, loans, and payment plans Perform collection activities related to student accounts, including monitoring outstanding balances, following up on delinquent payment plans, contacting students regarding past-due balances, sending collection correspondence, managing inactive account follow-up, and coordinating placement of accounts with external collection agencies when appropriate.
Coordinate outreach to students who have withdrawn or are planning to withdraw to discuss outstanding balances and available payment plan options. Process third-party vouchers and monitor outstanding payments to ensure timely payment. Manage assigned student groups to ensure billing accuracy, assign program related fees, and improve collection efforts.
Process and ensure timely processing of private student loans. Works closely with the Financial Aid loan coordinator to educate students on federal loan repayment. Support student success, retention, and financial well-being by helping students navigate financial processes and identify solutions to resolve outstanding account balances Reconcile past-due payment plans on a weekly basis, follow up with students regarding missed payments, document collection efforts, and prepare reports for the Assistant Vice President of Student Financial Success to support account monitoring, collections, and strategic decision-making.
May assist with New Student Orientation and other University Events. Bachelor’s degree required. 2-3 years of related work experience.
