Job Summary
The Wellness Manager is the Spa Director's strategic and hands-on execution partner for advancing the property's luxury wellness vision. This role connects spa, fitness, recovery, lifestyle programming, retail, and community engagement into one cohesive experience, moving the operation beyond a traditional hotel spa toward a vibrant, high-touch wellness destination.
Working under the direction of the Spa Director, the Wellness Manager translates wellness strategy into market-relevant programs, compelling member and guest experiences, disciplined activation plans, and measurable business outcomes. The role serves a diverse community of hotel guests, local guests, residents, and members, with particular focus on repeat engagement, membership value, local capture, cross-utilization, and the consistent delivery of luxury service standards.
This is an execution-focused leadership role. The Wellness Manager owns the wellness agenda, coordinates initiatives across spa and fitness, mobilizes the team, and ensures concepts are operationally sound, commercially viable, and delivered consistently.
Key Responsibilities
Wellness Strategy & Concept Execution Partner with the Spa Director to translate the property's luxury wellness club strategy into annual priorities, quarterly activation plans, and weekly execution rhythms. Integrate spa, fitness, recovery, salon, retail, pool, and lifestyle experiences into a cohesive wellness ecosystem with a clear point of view and guest promise.
Identify gaps in the current experience and develop practical solutions that elevate relevance, differentiation, convenience, connection, and perceived value. Build business cases and implementation plans for new concepts, equipment, partnerships, programming, and guest-experience enhancements. Maintain awareness of luxury wellness, hospitality, membership, recovery, and lifestyle trends; recommend opportunities appropriate to the property, audience, and brand.
Programming, Events & Experiences Design and manage an intentional wellness calendar that balances signature events, recurring classes, educational experiences, social wellness, seasonal programming, and private or group offerings. Develop experiences for distinct audiences--including hotel guests, locals, residents, members, groups, couples, and corporate or social clients--without fragmenting the overall brand.
Create program briefs covering concept, audience, pricing, capacity, staffing, supplies, risk controls, sales channels, marketing needs, and success measures. Coordinate facilitators, practitioners, vendors, and internal partners; manage timelines and day-of execution to luxury standards. Pilot, evaluate, refine, scale, or retire programs based on participation, profitability, satisfaction, strategic fit, and repeat potential.
Guest, Resident & Member Engagement Create meaningful touchpoints that foster belonging, personalization, accountability, and ongoing participation, not simply one-time transactions. Support member acquisition, onboarding, orientation, engagement, renewal, and win-back initiatives in partnership with the Spa Director and property teams.
Develop referral pathways among spa, fitness, recovery, retail, food and beverage, hotel, residential, and membership experiences. Build relationships with high-value and highly engaged guests while ensuring equitable, polished service across all customer segments. Gather and act on feedback through direct conversation, surveys, participation patterns, and service recovery; escalate material issues appropriately.
Commercial Performance & Measurement Set and track initiative-level goals for attendance, conversion, utilization, repeat participation, membership engagement, revenue, margin, ancillary spend, and guest satisfaction. Partner with the Spa Director on pricing, packaging, promotions, membership benefits, revenue strategy, budget planning, and expense controls.
Monitor program labor, facilitator fees, cost of goods, supplies, and capacity to protect profitability and operational sustainability. Maintain an actionable wellness performance dashboard and provide concise recaps, insights, and recommendations during weekly and monthly business reviews. Use segmentation and participation data to improve targeting, scheduling, program mix, and the guest journey while protecting privacy and data standards.
Marketing, Partnerships & Property Integration Develop clear program narratives, positioning, and content briefs for property marketing, digital channels, in-room communication, residential communication, membership outreach, public relations, and on-site collateral. Build productive working relationships with hotel operations, concierge, front office, sales, marketing, food and beverage, residential, membership, and engineering teams.
Support group, corporate, bridal, social, and local partnership opportunities by developing wellness concepts that can be sold and delivered consistently. Cultivate aligned relationships with practitioners, community partners, luxury brands, and wellness experts; ensure contracts, credentials, insurance, brand fit, and service expectations are addressed.
Represent the wellness club at internal meetings, community activations, member events, and selected external engagements. Team Enablement & Service Standards Inspire and educate spa, fitness, salon, retail, and front-desk teams on the wellness vision, program benefits, storytelling, referral opportunities, and sales pathways.
Create playbooks, talking points, FAQs, run-of-show documents, and training tools that make execution consistent and easy for the team. Support daily leadership coverage and Manager-on-Duty responsibilities as assigned by the Spa Director. Reinforce luxury hospitality standards, personalization, professionalism, inclusion, discretion, and service recovery across every wellness touchpoint.
Collaborate with the Spa Director on coaching, performance feedback, staffing recommendations, and recognition related to wellness initiatives. Operations, Safety & Compliance Ensure wellness programs and activations are supported by appropriate SOPs, waivers, screening protocols, emergency procedures, sanitation practices, and participant communications.
Confirm that instructors, providers, and partners maintain required licenses, certifications, insurance, and documentation. Coordinate spaces, equipment, supplies, signage, technology, and set up with operations and engineering teams; promptly address safety or maintenance concerns. Maintain accurate program calendars, attendance records, incident documentation, vendor files, and operational recaps.
When appropriately licensed and scheduled, provide treatments or wellness services to support the guest experience and remain connected to service delivery; direct service is secondary to leadership and program execution responsibilities.
Qualifications
Three or more years of progressive experience in luxury spa, wellness, fitness, hospitality, membership club, or lifestyle programming; leadership experience strongly preferred. Demonstrated ability to move a concept from idea through planning, stakeholder alignment, launch, execution, measurement, and refinement. Strong commercial judgment with working knowledge of program economics, budgeting, labor, pricing, revenue generation, retail, and performance reporting.
Experience serving multiple customer segments--such as hotel guests, local guests, residents, and members--and designing relevant engagement strategies for each. Exceptional communication, facilitation, relationship-building, organization, and project-management skills. Luxury hospitality mindset with sound judgment, discretion, emotional intelligence, and strong service-recovery capability.
Proficiency with Microsoft Office and experience with spa, fitness, membership, CRM, booking, or business-intelligence platforms. Book4Time experience is a plus. Current Chicago license in Massage Therapy, Esthetics, Cosmetology, or Nail Technology, if direct service delivery remains an assigned property requirement. Fitness, yoga, meditation, nutrition, health-coaching, or other well-known credentials are valued.
CPR/AED and First Aid certification required or must be obtained within the designated onboarding period. Bilingual English/Spanish proficiency is strongly preferred.
