Gift Processing Executive

Job Description This post will sit within the Global Supporter Experience Department, reporting to the Gift Processing Lead, and will work closely with colleagues across Supporter Care, Finance, Data & Insight, and Customer Experience teams. This role provides essential daytoday assistance across donation processing, reconciliation, Gift Aid administration and platform outputs.

The purpose of the Gift Processing Executive will be to ensure supporter gifts are processed accurately, efficiently and consistently across all giving channels, strengthening reconciliation, Gift Aid optimisation, platform administration and operational control. The role will also help build resilience, reduce single points of failure, and create capacity for senior colleagues to focus on strategic improvement, customer journey design and future-proofing.

Key Responsibilities

Donation Processing Process, code and reconcile donations across all relevant giving channels, including manual downloads and platform outputs. Support daily, weekly, month-end and year-end reconciliation between CRM and bank data. Maintain accurate donor and gift records, ensuring data integrity and compliance with internal policies.

Resolve processing exceptions promptly to reduce backlog and ensure smooth financial reporting. Bank Account and Platform Administration Take on appropriate bank account administration tasks and prepare bank information for reconciliation with CRM records. Support administration of giving platforms, ensuring outputs are downloaded, checked and processed on schedule.

Support platform administration by ensuring files, reports and outputs are ready for senior review. Complete routine bank data checks and downloads as instructed. Gift Aid Administration Update Gift Aid declarations and maintain audit trails. Prepare data for Gift Aid checks and claims, ensuring accuracy before senior review.

Support cross-team Gift Aid improvement project by maintaining consistent administrative inputs. Ensure data quality to maximise eligible claims and reduce compliance risk. Process Improvement and Risk Reduction Document processes, maintain procedure manuals and identify opportunities to streamline workflows. Contribute to continuous improvement initiatives that reduce manual intervention and strengthen reporting.

Help eliminate single points of failure by supporting cross-training and knowledge distribution. Ensure processing implications are understood early in new giving products or supporter journeys. Collaboration and Cross-Team Working Work closely with Supporter Care, Finance, Data & Insight, and CX project teams to ensure seamless end-to-end supporter experience.

Prepare basic operational data or summaries for the use in CX project work. Help maintain consistency in optimised ways of working. Support the organisation’s “one-team” philosophy, prioritising global needs and shared goals. High level of accuracy and attention to detail, especially in financial or data-sensitive tasks. Comfortable working under direction, following established procedures and escalating issues appropriately. Strong understanding of CRM systems and donor data management (experience with Blackbaud CRM desirable but not essential).

Ability to manage routine workloads and meet daily/weekly deadlines. Proven ability to manage time-sensitive workloads and balance competing priorities. Strong communication skills and a collaborative working style within a small, busy, cross- functional team. Experience with reconciliation, bank data, or Gift Aid administration is highly valuable.
