About the Role

The Caldwell Group, Inc. is seeking a Customer Service Coordinator to be the first point of contact for our incoming callers and to help ensure customers are connected promptly with the right team member. In this role, you will also provide administrative and customer service support to our Sales team, including assisting with quotes, entering orders, maintaining customer spreadsheets, and completing other office duties as assigned.

If you take pride in delivering a world-class first impression and want to help make Caldwell "Easy to Do Business With," we would like to hear from you.

Key Responsibilities

Answer incoming phone inquiries and direct callers to the appropriate Caldwell employee. Review voice mails left in the general delivery mailbox and forward messages to the appropriate employee. Review, distribute, and manage messages and inquiries submitted through the website to ensure proper and timely follow-up. Deliver faxes and emails to internal staff based on distribution names.

Enter customer orders accurately and promptly, and enter standard quotes and orders to absorb overflow during peak sales volume periods. Run and distribute reports (RMA/I&A, LOIs, warranty, parts and service work) as instructed by the Inside Sales Manager. Create, update, and maintain customer spreadsheets and related records, ensuring the accuracy of all required customer data.

Provide general support to Customer Service, Sales, and other departments as needed. Demonstrate the Caldwell Company Values and the "Easy to Do Business With" initiative in all work activities. Comply with all safety rules and regulations and help maintain a clean and safe work environment.

Qualifications

High school diploma or equivalent. One year of sales or administrative experience in an automated office environment. Excellent written and verbal communication skills. Demonstrated proficiency with MS Office and a basic comfort level with technology. Proven customer service orientation toward both internal and external customers and end users.

Proven ability to successfully manage multiple tasks in a rapidly changing environment. Work Environment and Physical Requirements An office space is the normal work environment, but you may occasionally be exposed to fumes or airborne particles, moving mechanical parts, and vibration. The noise level can be loud during infrequent periods in the manufacturing area, but is normally quiet in the office.

While performing the duties of this job, you will regularly talk and/or hear and frequently sit, use your hands to finger, handle, or feel, and reach with hands and arms. You will occasionally stand and walk.
