Administrative Manager Location: Indianapolis, Indiana Work arrangement: Fully in-office Reports to: Chief of Staff Powers & Sons Construction is seeking an Administrative Manager to coordinate the processes that support our Indianapolis office. This hands-on role manages travel, training and certification records, payroll data entry, office operations, and leadership support.

The position keeps information accurate, deadlines visible, and work moving across departments.

Key Responsibilities

Arrange travel and itineraries, manage booking changes, coordinate training registration, and track course completion, certifications, and renewal deadlines. Payroll support: Collect and enter payroll data, review completeness and accuracy, resolve discrepancies with the appropriate team members, and submit to Accounting for approval.

Onboarding: Coordinate administrative onboarding, materials, and office arrangements with HR; collect and route required information. Office operations: Coordinate supplies, equipment service, vendors, and routine facility needs. Welcome visitors, handle calls and inquiries, and direct requests appropriately. Invoice coordination: Organize incoming invoices, confirm supporting information, and route documents to reviewers and Accounting.

Leadership support: Assist with calendars, meeting arrangements, document preparation, and administrative follow-up. Records and processes: Maintain electronic files and tracking tools, monitor deadlines, recommend practical improvements, and provide additional administrative support as needs evolve.

Qualifications

Administrative experience coordinating responsibilities, maintaining records, and managing multiple deadlines. Strong general computer skills, including email, calendars, documents, spreadsheets, and electronic file management; ability to learn new systems. Accuracy and attention to detail, clear communication, and a professional approach with employees, vendors, and visitors.

Ability to prioritize requests, follow through independently, escalate issues appropriately, and handle confidential information with discretion. Experience with payroll data entry, travel, training coordination, or onboarding is helpful. Construction experience is not required.
