Job description

Reporting to the Chief Operating Officer, the Philanthropy & Grants Manager will provide administrative and coordination support across AUJS's grants and funder relationships. The role is primarily focused on maintaining accurate records, meeting reporting and acquittal deadlines, supporting grant applications, and ensuring AUJS's obligations to funders are well-managed.

At 2 days per week, this role suits someone who is highly organised, deadline-driven, and experienced in the administrative requirements of grants management in an NFP context. Strategic direction and funder relationship management will be led by the COO; the Philanthropy & Grants Manager is a critical operational support to that work.

Key Responsibilities

Maintain a grants register covering all active and prospective funding, including deadlines, conditions, and reporting requirements Prepare and submit acquittal reports and progress updates in accordance with funder requirements Research and identify grant opportunities aligned with AUJS's programs and priorities, and support the preparation of applications Gather program data and evidence from staff to support reporting, and prepare draft reports for COO review Provide administrative support for funder communications and assist the COO in preparing for funder meetings Maintain accurate records across all grants-related documentation, correspondence, and CRM systems Requirements Essential

  • Demonstrated experience in grants administration or coordination, including managing acquittals and compliance requirements
  • Strong written communication skills, with the ability to produce accurate, well-structured reports and correspondence
  • Excellent attention to detail and organisational skills, particularly around deadlines and document management
  • Ability to work with a high degree of autonomy and self-direction within a part-time scope
  • Proficiency in standard office tools and comfort with database or CRM systems
  • Genuine interest in AUJS's mission and the Jewish student community Desirable
  • Experience in a small NFP environment where adaptability and resourcefulness are essential
  • Familiarity with the Australian Jewish philanthropic or community sector
  • Understanding of federal and state government grant programs relevant to education, multicultural affairs, or social cohesion
  • Experience setting up or improving grants tracking and administration systems from scratch
