Service Writer

Our Service team plays an important role in keeping our customers' operations running safely and efficiently. As a Service Writer (Quote Writer) , you'll help turn technician findings and repair recommendations into clear, accurate estimates that allow our customers to make informed decisions about their equipment. This role is a great fit for someone who is organized, detail-oriented, customer-focused, and comfortable coordinating between multiple teams to keep the repair process moving.

What You'll Do

Prepare accurate and detailed quotations for forklift repairs, planned maintenance, and other material handling equipment service. Review technician inspection reports and repair recommendations to determine the scope of work needed. Research the parts, labor, and outside services required to complete recommended repairs.

Partner with the Parts Department to confirm pricing, availability, and lead times. Work closely with Service Managers and technicians to ensure quotations are complete, accurate, and technically sound. Communicate repair recommendations and estimates to customers in a clear and professional manner. Follow up on outstanding quotations, answer customer questions, and work to secure repair approvals.

Coordinate approved repairs with the Service team to help ensure work is scheduled and completed in a timely manner. Maintain accurate documentation of quotations, approvals, and customer communications. Monitor open quotations and proactively follow up to help improve quote approval and conversion rates. Identify opportunities to improve the quoting process and increase overall service efficiency.

Provide a high level of customer service while building strong relationships with customers and internal teams. What Success Looks Like Accurate and timely repair quotations. Consistent follow-up on open estimates and customer requests. Strong communication between customers, technicians, Parts, and Service. High quote approval and conversion rates.

Efficient coordination of approved repair work. Organized and accurate documentation. A positive customer experience throughout the repair process.

Qualifications

High school diploma or equivalent. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Strong customer service skills and a professional, positive approach. Ability to prioritize and manage multiple tasks in a fast-paced service environment. Proficiency with Microsoft Office applications.

Ability to work collaboratively across departments. Preferred: Previous experience in a service writer, service advisor, quoting, estimating, customer service, or similar role. Experience within the automotive, heavy equipment, forklift, material handling, or other service-related industry. Familiarity with parts, labor, repair estimates, invoicing, or service operations.
