Job description

Job Details: Job Location: CT Headquarters

  • Middletown, CT, Position Type: Full Time, Salary Range: $50000.00 - $60000.00Salary/year, ABOUT AZTEC Aztec is a workplace technology partner for organizations across the Northeast: one provider for the whole workplace. We deliver and manage the technology and amenities modern offices depend on, from managed print and end-user devices to audio visual, unified communications, and office coffee. Our customers count on us to install, service, monitor, and support all of it.

ABOUT THE ROLE

The Client Operations Associate is the link between a signed deal and a satisfied client. Once our sales team closes an order, you take it from there: you make sure the paperwork is complete, the equipment gets delivered, the contract is built correctly in our system, and the lease is funded. You are also a friendly and knowledgeable voice for clients day to day, handling their calls and emails, placing orders, and helping with billing questions.

This role suits someone who is organized, accurate, and calm when several deals are moving at once, and who enjoys being the person who makes sure nothing falls through the cracks. Location: Middletown, CT (on-site) Schedule: Full-time Pay range: $50,000 to $60,000 a year, based on experience WHAT YOU'LL DO Deal Processing

  • Review newly signed orders for completeness and accuracy, including order forms, pricing, equipment configurations, service agreements, and credit approvals.
  • Enter new deals into our ERP and resolve any discrepancies with sales before an order moves ahead.
  • Keep deal status current so sales, service, and finance always see where an order stands. Delivery Coordination
  • Schedule deliveries and installations with clients, our warehouse and logistics team, and field technicians.
  • Confirm site readiness and gather the information our technicians need, such as network and connectivity details, before install day.
  • Track each order through delivery and collect signed delivery and acceptance documents. Contract Setup
  • Build new service contracts in the system, including billing terms, rates, start dates, equipment serial numbers, and meter collection setup.
  • Verify contract setup against the signed agreement so a client's first invoice is right the first time. Lease Funding
  • Assemble and submit complete funding packages to leasing partners, including signed lease documents, delivery and acceptance certificates, and invoices.
  • Follow each package through to funding, clear any outstanding conditions, and reconcile funds received against the deal. Client Support
  • Serve as a first point of contact for clients, answering phone and email inquiries promptly.
  • Place orders for supplies, equipment, and accessories on behalf of clients, and keep them updated through delivery.
  • Support billing by researching invoice questions, helping collect meter reads, and working with our billing team on corrections and credits.
  • Keep client account details current, including contacts, addresses, and equipment locations.
  • Route service requests and escalations to the right team and follow up until each issue is resolved.
  • Log every client interaction in our CRM so the full account history is always available.

WHAT WE OFFER

  • A pay range of $50,000 to $60,000 a year, based on experience, plus a comprehensive benefits package.
  • A collaborative team at our Middletown headquarters.
  • Exposure to every stage of the client lifecycle, from closed deal to funded lease, with room to grow. Aztec is an equal opportunity employer. We consider all qualified applicants without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, veteran status, or any other characteristic protected by law.

Qualifications

REQUIRED

  • One to three years of experience in order processing, sales operations, customer service, or a similar administrative role, ideally in a B2B setting.
  • Strong attention to detail and the discipline to check your own work.
  • Clear, professional written and verbal communication with clients and coworkers alike.
  • The ability to manage several open deals at once, prioritize, and meet deadlines.
  • Comfort working in an ERP and a CRM, plus solid Microsoft Excel, Outlook, and Word skills.
  • A high school diploma or equivalent; an associate's or bachelor's degree is a plus. PREFERRED
  • Experience in office technology, managed print, or IT services.
  • Familiarity with equipment leasing and funding documentation.
  • Hands-on experience with ECI E-Automate or Salesforce.
