Job description

Title: Elementary Administrative Assistant Selected by: Board of School Trustees by Recommendation of the Superintendent and Building Principal Evaluated by: Building Principal and/or appropriate administrative personnel Reports to: Building Principal and/or appropriate administrative personnel Terms of Employment: Seven and one half hours daily or as determined by Principal.

All student days plus ten (10) days prior to the opening of the school year and five (5) days following the close of the school year. SUMMARY : Assist students, parents, staff and the principal by maintaining the school office and coordinating efforts to meet their needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Answer incoming telephone calls and handle in a professional manner; providing routine information concerning schedules, upcoming events, policies and procedures; taking messages and forwarding calls to the appropriate person. Greet visitors to the building, determining the nature of their business, issuing a visitor pass if appropriate, and assisting them in getting to the correct office or room or referring them to the appropriate faculty member.

Provide leadership and serve as a resource. Serve as confidential secretary to the Principal, providing administrative and secretarial support, scheduling appointments, preparing various materials from oral and written instructions, proof reading forms and documents, providing information to faculty, staff, parents, students and assist in the completion of special projects and/or activities.

Prepare requisitions for purchasing instructional equipment and supplies using corporation funds, maintain records and accounts of encumbered funds, verify the receiving of ordered materials, and reconcile accounts with monthly corporation financial statements. Prepare daily announcements and distribute to faculty, staff and students.

Post to website. Maintain an accurate record of faculty and non-teaching personnel absences and leaves and the utilization of substitute teachers, and prepare required reports for the central office at the end of the pay period. Establish and maintain data files to support the operation of the school office. Receive, sort and distribute incoming mail & special deliveries; verifying packing lists to P.

O.s Maintain/assemble faculty handbook & emergency manuals. Process requests for information and records on current/former students as needed. Write passes; distribute/document medicine as need. Perform criminal background checks for volunteers. Assist substitute teachers with assignment for the day. Trouble shoot copier jams and order supplies.

Oversee the preparation of correspondence and processing of mailings during year (report cards at the end of the year, etc.) Assist in the collection and receipting of money for textbooks and field trips as needed. Compile and coordinate Honor Day participants, programs and awardees. Update student information in STI as needed.

Serve as contact for parents acquiring student online pin numbers. QUALIFICATION REQUIREMENTS : Keyboarding EDUCATION and/or EXPERIENCE : High School Diploma or GED diploma LANGUAGE SKILLS: Ability to read, analyze, and interpret professional journals, technical procedures, or governmental regulations. Ability to write reports, correspondences, and procedure manuals.

Ability to effectively present information and respond to questions. MATHEMATICAL SKILLS: Ability to apply general mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations. REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. OTHER SKILLS AND ABILITIES: Ability to establish and maintain effective working relationships with students, peers, parents and community, and ability to speak clearly and concisely in written or oral communication.
