General Summary: The individual selected for Recruitment Specialist (Temporary) functions within the mission, philosophy, and procedures of United Nursing College (UNC). This temporary role supports enrollment by giving every prospective student timely, personal contact from first inquiry through application. The primary responsibility is direct prospect engagement: hosting information sessions, leading campus tours, making and answering calls, and following up by email and text.

The specialist logs all activity in Hub. Spot and manages two-way messaging in Podium so no lead goes without a response. The specialist also represents UNC at in-person recruitment events at high schools, career/college events, colleges, and universities. Essential Job Functions: Information Sessions and Campus Tours

  • Host scheduled virtual information sessions for prospective students, presenting accurate program information using approved materials.
  • Lead campus tours for prospective students and their families, highlighting facilities, programs, and the enrollment process.
  • Send pre-session reminders and post-session follow-up to registrants and attendees. Phone and Email Follow-Up
  • Make outbound calls to new inquiries, info session registrants, and applicant-ready leads within established response times.
  • Answer inbound calls and voicemails from prospective students, providing accurate information or routing to Admissions as appropriate.
  • Send timely, personalized follow-up emails that answer questions and guide prospects to the next step: attending a session, scheduling a tour, or starting an application. Hub. Spot CRM
  • Log every call, email, tour, and session interaction in Hub. Spot to keep contact records accurate and current.
  • Update lead status and pipeline stages so Marketing and Admissions have a clear view of each prospect.
  • Work assigned task queues and follow-up lists in Hub. Spot daily.
  • Build and send bulk emails in Hub. Spot (e.g., info session invitations, event reminders, application deadline notices) to segmented prospect lists using approved templates and messaging. Podium Messaging
  • Monitor and respond to incoming Podium text messages and web chats during scheduled hours.
  • Use Podium for text-based follow-up, appointment reminders, and quick answers to prospect questions. In-Person Recruitment Events
  • Staff UNC tables and booths at college fairs, high school events, community events, and on-campus events such as Open Houses.
  • Collect prospect contact information at events.
  • Set up and break down event displays and recruitment materials. Support and Collaboration
  • Work with the Marketing & Communications Manager and the Admissions team to hand off qualified applicants smoothly.
  • Use only approved program information and messaging when communicating with prospects.
  • Provide excellent customer service to prospective students and their families.
  • Participate in scheduled department meetings as needed.
  • Perform related duties as assigned within the scope of this role.
  • Comply with all applicable College, state, and federal rules and regulations.
  • Maintain confidentiality of information (e.g., private, personal information) both during and after employment with the College. Essential Education and Experience:
  • Equivalent to completion of the twelfth grade
  • Experience in customer service, admissions, recruitment, or sales; higher education or healthcare setting preferred
  • Comfortable presenting to groups and leading tours
  • Excellent telephone courtesy and written communication skills
  • Ability to build rapport with prospective students and their families, faculty, staff, and external contacts
  • Proficient with computers and able to learn and use software efficiently, including email, Microsoft Office, and CRM software (Hub. Spot preferred); experience with Podium or similar messaging platforms a plus
  • Strong problem-solving skills, with the ability to resolve prospect questions and scheduling issues independently and know when to escalate
  • Availability for some evenings and weekends for info sessions and events
  • Valid driver's license, good driving record, and reliable transportation for local events
