As an Order Compliance Coordinator (Orders Coordination), your focus is to provide accurate data entry and the end-to-end handling of orders, ensuring that all required information is complete, correct, and available, with no missing details before the order progresses further in the process. Communication is essential, and no day is the same.

Execute and handle orders in internal systems, coordinating collection and delivery timeslots with shippers and receivers and 3rd party systems. Ensure orders are compliant with a “ready to go” mindset, including documents, instructions and legal obligations and all the amendments that might occur during the lifecycle of an order.

Respond promptly to customers within the regular booking flow, resolve issues efficiently, and ensure a seamless end to end experience. Keep the customer and internal stakeholders informed and solve any problems that prevent you to create the order, for instance, missing or incomplete information. Email and attend daily calls/meetings with customers and internal stakeholders to ensure that documents and date are available in order to have a compliant order.

Use experience and support to optimize the transit of orders. Maintain an individual overview of assigned and completed operational activities, ensuring visibility of workload and outstanding tasks. Seek process improvements and automation in relation to the following: Incoming orders – manual/portal/EDI/platform, Document processing and uploading, Compliance checks and reports for vessels, Order reports for Customers and/or internal stakeholders.

Keep response times within agreed tolerance and meet KPI standards. Strictly follow documented step-by-step work instructions (WIs) and checklist protocols for order verification, data validation, and systems entry. Execute routine compliance checks in full alignment with company guidelines, trade compliance manuals, and internal quality standards.

Support the training and onboarding of new team members on Order Compliance processes, documentation requirements, systems, and customer-specific procedures. Accurate in the execution of tasks. Ability to handle a high volume of work. An altruist and collaborative approach to customer and colleagues. Polished and professional telephone manners and good writing skills.

Ability to listen and explain (complex) requirements to others. Competent in the use of computers systems and a good understanding of electronic media distribution. A positive and customer focused spirit. Bachelor’s degree. Experience in international transport, shipping or customs is useful but not essential. Minimum one year experience in a similar job.

Fluent in English both verbally and in writing. Knowledge of additional European languages is welcome.
