Commercial Real Estate Property Manager
Job description
Position Summary
As a Property Manager at Hudson Valley i. Campus, you will oversee assigned commercial, industrial, office, laboratory, and manufacturing properties within a complex, multi-tenant campus. You will manage these properties in accordance with the goals, policies, and procedures established by ownership and IRG Realty Advisors.
Reporting directly to the Director, you will actively participate in budgeting, capital planning, financial analysis, and reporting. You will work closely with the Operations and Maintenance Team, engineering and utility service providers, accounting, and leasing to maintain property performance, deliver responsive tenant service, and coordinate activities that affect campus operations.
This role requires an understanding of how building conditions, shared infrastructure, and service interruptions affect tenants, particularly those conducting research, laboratory, and manufacturing activities.
What You'll Do
Manage the financial objectives of assigned properties by analyzing monthly financial reports, identifying variances, and recommending and implementing corrective action. Prepare annual operating budgets and capital plans with the Property Accountant and Senior Property Manager, incorporating maintenance needs, infrastructure repairs, tenant requirements, and anticipated operating costs.
Work with accounting to review tenant charges, utility billing, common-area maintenance expenses, and other recoverable costs for accuracy and consistency with lease provisions. Serve as the primary property management contact for assigned tenants. Maintain regular communication, investigate concerns, and follow issues through resolution.
Develop a working knowledge of assigned buildings, tenant operations, lease obligations, and landlord-versus-tenant maintenance responsibilities to identify concerns before they become larger problems. Work with the Operations and Maintenance Team to ensure building and campus services are appropriately contracted, maintained, and delivered to established standards.
Coordinate with engineering and utility service providers on planned shutdowns, maintenance, and service interruptions involving electrical power, steam, chilled water, water supply, HVAC, and other building systems. Ensure affected tenants receive timely communication and that potential operational impacts are addressed.
Negotiate and authorize contracted work within established policies, approved budgets, and delegated authority. Monitor contractor performance, work quality, insurance documentation, and completion. Provide operational oversight of operations managers, site managers, and third-party contractors supporting assigned properties, in coordination with the Senior Property Manager.
Establish a regular inspection schedule with the Operations and Maintenance Team covering occupied and vacant buildings, common areas, roads, parking lots, loading areas, and grounds. Document deficiencies, prioritize corrective action, and verify completion. Coordinate campus services such as security, access control, cleaning, landscaping, snow removal, and waste removal, as assigned.
Identify and escalate fire, flood, weather, security, and other property hazards. Support emergency preparedness and coordinate property management response, tenant communication, and follow-up during incidents. Monitor preventive maintenance and outstanding work orders with the Operations and Maintenance Team to support reliable building operations and address recurring issues.
Prepare reports for the Vice President of Property Management, in coordination with the Senior Property Manager, summarizing financial performance, tenant concerns, property conditions, capital projects, and operational risks. Support leasing initiatives by maintaining vacant space in a presentable condition, assisting with tours, and coordinating requests for building and operating information with the appropriate technical team.
Manage assigned Tenant Improvement projects in coordination with construction, engineering, and campus operations personnel. Monitor scope, budget, schedule, contractor access, tenant communication, and project completion. Coordinate tenant move-ins, move-outs, and space turnover, including condition documentation, access arrangements, service setup, and communication of campus procedures.
Contribute to the team effort by completing related assignments that support ownership’s financial and operational goals.
What You'll Bring
Minimum of 10+ years of experience in commercial facility or commercial property management. Experience managing a multi-building campus or properties with shared infrastructure preferred. Experience supporting laboratory, life sciences, industrial, or manufacturing tenants preferred. Experience managing and tracking capital projects performed by third parties.
Demonstrated ability to prepare budgets, analyze financial reports, explain variances, and manage operating expenses. Working knowledge of commercial leases, landlord and tenant responsibilities, expense recoveries, and vendor contracts. Ability to understand building-system issues and coordinate effectively with engineering, maintenance, and utility specialists.
Strong ability to manage competing priorities, work under pressure, and exercise sound judgment during service disruptions or urgent tenant concerns. Proven communication skills with tenants, ownership, contractors, technical teams, and all levels of management. Organized and disciplined, with a proactive approach to identifying risks and following issues through resolution.
Self-starter who takes ownership of projects and completes tasks reliably. Strong leadership, collaboration, and team-building abilities. Experience supporting third-party leasing and managing Tenant Improvement projects a plus. Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; experience with property management and work-order systems preferred.
