Coordinator, Regional Based Programs

Phillips Academy is seeking an organized, detail-oriented, and collaborative Coordinator, Regional Based-Engagement to support alumni engagement initiatives. Reporting to the Director of Regional Based-Engagement, this individual will coordinate regional events, manage volunteer committees, support communications, and maintain engagement data.

Key Responsibilities

Coordinate regional alumni events, including invitations, RSVP tracking, logistics, and follow-up communications. Support regional volunteers and committees, including meeting coordination and preparation of materials. Manage calendars, schedule meetings, prepare itineraries, and draft correspondence. Maintain constituent records, analyze engagement data, and prepare reports.

Coordinate travel arrangements and expense reimbursements. Provide administrative support while maintaining accuracy, confidentiality, and professionalism.

Qualifications

Bachelor's degree in a related field. Two to four years of administrative or related experience; higher education experience preferred. Proficiency in Microsoft 365, including Outlook and Excel. Experience with CRM or database platforms; Salesforce, Raiser’s Edge, or Blackbaud experience is a plus. Excellent communication, organizational, interpersonal, and time-management skills.

Ability to work independently, collaborate effectively, and manage competing priorities. Interest in alumni engagement, fundraising, or volunteer relations preferred.
