Care – We will provide compassionate person-centered care while respecting individual physical, emotional, and spiritual needs JOB-OVERVIEW Data Entry and Record Maintenance: Enter, update, and maintain accurate information in electronic databases, spreadsheets, and program-specific systems. Review data for completeness, accuracy, and consistency before submission or finalization. Identify and correct data entry errors and report discrepancies to the appropriate supervisor. Maintain electronic records, files, and documentation in accordance with established procedures and deadlines. Upload, organize, and file documents in the appropriate electronic systems. Verify information against source documents and ensure required fields are completed. Track missing information, outstanding documentation, and incomplete records and follow up with appropriate staff as needed. Maintain accurate tracking logs, reports, and spreadsheets to support program operations. Clerical and Administrative Support: Provide administrative support to program leadership and team members as assigned. Process incoming documents, correspondence, forms, and other program-related materials. Assist with preparing, formatting, and distributing reports, forms, and other documentation. Maintain organized electronic filing systems and ensure documents are accessible to authorized personnel. Assist with data collection, report preparation, and routine administrative projects. Monitor assigned tasks and deadlines to ensure timely completion of required duties. Communication and Customer Service: Communicate professionally with internal staff, clients, families, and external partners as appropriate to the role. Respond to routine inquiries and direct questions to the appropriate department or individual. Relay messages and requests accurately and promptly. Follow up with team members regarding missing information, incomplete records, and outstanding documentation. Maintain a professional and service-oriented approach when supporting program operations. Organization and Compliance: Maintain confidentiality of client, employee, and organizational information. Follow company policies, procedures, documentation standards, and applicable privacy requirements, including HIPAA when applicable. Maintain organized task lists and tracking tools to ensure assignments are completed within established timelines. Prioritize workload effectively while maintaining a high level of accuracy. Participate in training related to software systems, data entry procedures, documentation requirements, and program operations. Assist with identifying opportunities to improve data accuracy, documentation processes, and administrative efficiency. Perform other duties as assigned to support the needs of the program and organization.
