You’ll be the administrative and communication hub of the sourcing team — keeping our project management system (Sitetracker) current, coordinating schedules, and serving as a reliable point of contact who keeps vendors and clients informed and orders moving.

Much of this role is proactive outreach: chasing status updates, confirming details, and making sure the right people have the right information at the right time. Your job is to keep data clean, communication flowing, and anything from falling through the cracks. What You’ll Accomplish and Experience Own the order-to-contract pipeline for an assigned client and vendor book, accountable for taking orders from Sales handoff to executed contract.

Review, approve, or reject vendors for select orders based on capability, cost, timeline and risk, and commit the company to vendor orders and agreements within assigned signature authority without prior management approval. Evaluate vendor proposals and contracts against customer requirements, determining whether each deal moves forward.

Escalate to the Sourcing team only when contract terms need to be changed or a deal exceeds signature authority. Serve as the primary point of contact for customers and vendors during sourcing and contracting, gathering site contacts, site details and project requirements, and keeping both sides aligned through contract execution.

Lead pre-contract site surveys and provisioning calls across multiple U.S. time zones and vendor organizations, resolving scheduling conflicts on your own. Monitor vendor orders, approvals and contract-stage deadlines across a growing order volume, and act on at-risk deals before they age into backlog. Maintain Sitetracker as the team's system of record through the contracting stage, keeping project tasks, milestone dates, ownership fields and order statuses current, and correcting stale tasks, ownership gaps and milestone drift so leadership reporting stays accurate.

Build and maintain accurate tracking spreadsheets in Excel and Google Sheets, and deliver clear status updates to stakeholders and leadership. Desirable Previous Experience Strong written communication skills, with the ability to engage professionally with vendors and clients through email, Slack, and video meetings. Confident and courteous follow-up style, with the persistence to keep outstanding items moving until questions are answered and next steps are clear.

Highly organized and detail-oriented, with a strong ability to identify missing dates, incomplete information, and records that do not match current project status. Comfortable working in spreadsheets and learning new tools, including CRM and project management systems. Self-directed, dependable, and process-minded, with the judgment to manage recurring tasks and raise issues before they become roadblocks.

Hands-on experience with Sitetracker, Salesforce, or a comparable project management or CRM platform preferred. Experience in telecom, logistics, procurement, operations, customer support, or another role requiring frequent coordination and follow-through preferred. Why Beyond.
