About the Role

The Payroll Clerk plays a critical role in ensuring accurate and timely processing of employee payroll within the transportation and warehousing industry. This position is responsible for maintaining compliance with all applicable regulations, including the Affordable Care Act (ACA), and managing detailed payroll records.

The Payroll Clerk will handle data entry tasks related to payroll, process invoices, and perform bank reconciliations to support financial accuracy. Additionally, this role involves preparing journal entries and maintaining the general ledger to ensure proper accounting of payroll transactions. The Payroll Clerk also supports employee leave management, including Family Medical Leave, to ensure adherence to company policies and legal requirements.

Minimum Qualifications

High school diploma or equivalent required; associate degree or higher in accounting or related field preferred. Proven experience in payroll processing or accounting within a transportation or warehousing environment. Strong knowledge of ACA compliance requirements and payroll regulations. Proficiency in data entry and experience with general ledger and journal entries.

Familiarity with bank reconciliation processes and payroll software systems.

Preferred Qualifications

Experience with Family Medical Leave Act (FMLA) administration. Advanced proficiency in accounting software such as QuickBooks or SAP. Certification in payroll management (e.g., Certified Payroll Professional). Experience working in a fast-paced transportation or logistics company. Strong analytical skills and attention to detail.

Bilingual English/Spanish Responsibilities: Process and verify employee payroll data accurately and on schedule. Ensure compliance with ACA regulations and maintain related documentation. Perform data entry for payroll transactions, invoices, and related financial records. Prepare and post journal entries to the general ledger related to payroll activities.

Conduct bank reconciliations to verify payroll disbursements and resolve discrepancies. Manage records and documentation for Family Medical Leave and other employee leave programs. Collaborate with HR and finance teams to resolve payroll discrepancies and inquiries. Maintain confidentiality and security of payroll information at all times.

Skills: The Payroll Clerk utilizes ACA compliance knowledge daily to ensure all payroll processes meet federal regulations, preventing costly penalties. Data entry skills are essential for accurately inputting employee hours, deductions, and benefits into payroll systems, which supports timely and precise payroll runs.

The ability to process invoices and prepare journal entries ensures that payroll expenses are correctly recorded in the general ledger, maintaining financial integrity. Bank reconciliation skills are applied regularly to verify that payroll disbursements align with bank statements, identifying and resolving any discrepancies.

Additionally, understanding Family Medical Leave policies allows the Payroll Clerk to manage employee leave records effectively, ensuring compliance with legal requirements and supporting employee rights.
